Position Overview We're seeking a proactive, customer-focused professional for the Internal Services Department, directly contributing to the efficient operation of Maintenance Services. This position supports a wide range of administrative functions related to Maintenance Work orders assigned to various trade departments, Building Maintenance inventory purchasing, and inventory tracking.
As the first point of contact for the public and internal departments, the Administrative Associate provides courteous and professional assistance in person, over the phone, and via email. The role requires strong communication skills, attention to detail, and proficiency with modern office technology, including word processing, spreadsheets, databases, and related software.
Examples of Duties
Responsible for preparing repair orders and for procurement of parts and supply materials Answer phone calls and take messages and return phone calls Screen and route documents Order material requested and verify delivery amounts to assist in processing of billings Review, verify, and record various program records Enter data into spreadsheets in prescribed formats Answer questions from departmental staff and the public concerning records Prepare monthly and quarterly reports for departments, managers, and other agencies and ensure that information provided is complete and correct Maintains equipment maintenance records for all equipment. Maintains computerized inventory control of parts daily Use computer to obtain information for requests, enter data and information in computer for program staff and supervisor Generate various reports for supervisors, program staff, or public requests Minimum Qualifications High school diploma or GED and the ability to perform the primary duties of the position Knowledge, Skills and Abilities
Knowledge of office practices and procedures; arithmetic, grammar, spelling, and vocabulary working Knowledge of word-processing, spreadsheets, and other computer applications used in the assigned office Skill in the operation of a computer, scanner, copier, fax machine, or other office equipment Ability to process data, information, and other information required by the program and office Ability to communicate effectively in person and by telephone Ability to be tactful and courteous Ability to follow oral and written instructions and procedures Ability to enter data with accuracy at the speed required of the particular program or position Ability to use automated systems and technology in performing the duties assigned Ability to establish and maintain effective working relationships with the general public and other employees
Conditions of Employment:
Driving is an essential function of this position. To be considered, you must have a valid driver's license with an acceptable driving record. If your driver's license is from another state, you will be required to obtain and show proof of a valid NC driver's license within 60 days of hire.
