The Administrative Coordinator I, under general supervision and working in direct support of the Manager, Business Development provides administrative support, exercises discretion and independent judgement in all organizational needs in research, innovation, and advancement of UAS technologies in the Autonomy Research Institute (ARI). Principal duties include participation in planning and execution of administrative operations for downtown building. Office Management: 50% Monitor office policies and procedures for changes required. Prepare required reports, summaries and communications Handle various complex, sensitive, and highly confidential issues with faculty, staff, and students. Creating reports on maintenance, repairs, safety and other occurrences for Manager of Facilities Monitoring the safety and cleanliness of interior and exterior areas, such as offices, conference rooms, parking lots and outdoor recreation spaces Collaborating with other building tenants and management on budgeting for facilities needs Administrative Support: 45% Provides general support to Associate Directors and Managers Works independently to assure downtown building guests are greeted and directed as necessary Develops, evaluates, and ensures adherence to office procedures Reviews documents for supervisor, project managers and directors Answers all incoming phone lines for the downtown campus Analyzes requirements and plans for projects, initiatives, or events of varying scope. Provides technical information regarding administrative procedures, services, or programs. Prepares reports and project summaries. Make recommendations for process improvements, administrative changes or new initiatives. Safely operates university vehicles/machinery General: 5% Performs other related duties as assigned Qualifications Bachelor's degree Two (2) years of related experience Additional education and/or experience may be considered for substitution: Associate's degree and Four (4) years of related experience, OR Master's degree Skills and Abilities Maintain Valid Driver License Strong written and verbal communication skills Advanced proficiency in Microsoft Office Suite High level of articulation and professionalism Exceptional attention to detail Critical thinking and proactive problem solving Ability to take initiative and identify opportunities for improvement Ability to either work in a team environment or independently with minimal guidance Ability to manage and prioritize tasks, resources, and time effectively Strong planning and organizational skills Preferred Qualifications Four (4) years' office management experience University / Higher Education work experience Experience with publishing on a variety of social media platforms Experience in Canopy / FAMIS, Emburse, Qualtrics/SurveyMonkey, IslanderBuy, Laserfische, and Workday Salary: Up to $4,166.67 Monthly ($50,000.00 Annual, Approximately) From our generous benefits package and professional development opportunities, to our retirement programs and our commitment to service excellence, the Island University is an engaging and rewarding place to work.
