Summary
The role will manage essential office operations with a focus on accounting and human resources. The ideal candidate will ensure smooth financial processes, including Accounts Receivable, Accounts Payable, and Payroll management, while also supporting HR functions and translating business documents between English and Japanese.
Essential Duties
As an Office Administrator, your responsibilities will include:
Responsible for Accounts Receivable, Accounts Payable, and Payroll.
Issue Invoices, (occasionally quotations and purchase orders as well.)
Track A/R balance and contact customers if needed. Pay bills as part of daily duties.
Track employees’ work hours and paid time off days
Run payroll biweekly and prepare/submit the withholding taxes and forms.
Prepare the state sales and use tax return on an annual basis (frequency might change.)
Report financial statements, such as profit & loss, balance sheet, and cash flow statement to Japan headquarters monthly.
Process monthly closing, including bank accounts reconciliation.
Work closely with an outside CPA to prepare corporate income tax returns.
Handle employee benefits, such as health/dental/voluntary insurance and retirement plan.
Record and maintain employee business mileage and travel expenses.
Translate business documents from English to Japanese, or vice versa.
Assist non-English speaking Japanese personnel in general professional and personal matters.

Qualifications
Bachelor's degree in Business Administration, Accounting, or a related field preferred. Proven experience in office administration, accounting, and payroll processing. Strong knowledge of accounting principles and financial reporting. Excellent communication skills in both English and Japanese. Proficient in accounting software and Microsoft Office. Ability to work independently and as part of a team. Exceptional organizational and multitasking abilities. Previous experience working with corporate tax preparation is preferred.
