The Office of Undergraduate Admission at the University of Virginia invites applications for the position of Senior Fiscal Technician. Under the supervision of the Enrollment Budget and Finance Director, and input from the Director of Admission, this position serves as the primary fiscal technician for the Office of Undergraduate Admission. Key responsibilities include processing invoices and reimbursements, managing vendor contracts, overseeing gift accounts, completing monthly reconciliations, reviewing expense reports, coordinating with the Enrollment Finance Team, and assisting with the preparation and submission of the budget. The role requires exceptional organizational skills, attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment. The Enrollment Finance Team operates as a collaborative hub, working closely with each unit to ensure financial accuracy, transparency, and efficiency. By aligning fiscal operations with the division's mission, the team helps streamline processes, support data-informed decision-making, and enable each unit to focus on its core mission: recruiting, enrolling, and supporting talented student body. This collaborative spirit ensures that financial stewardship is not siloed but integrated into the broader goals of Enrollment at UVA. In addition to financial responsibilities, the position contributes to the broader Enrollment Finance team by supporting financial processes across the Enrollment units. As a member of the Enrollment Finance Team, this position plays a vital role in supporting the broader financial and operational needs of the entire Enrollment division. Enrollment's constituent units include Student Financial Services, the Office of Undergraduate Admission, the Office of the University Registrar, AdviseVA, and Commonwealth Partnerships. Responsibilities include: Create purchase requisitions and issue purchase orders (POs) in Workday Process supplier invoice payments and expense reports Review and approve expense reports and ensure supporting documentation for transactions Monitor spending and ensure adherence to budget and policy Collaborate with Enrollment Finance team members to ensure consistency in procurement and expense practices across units Initiate journal entries, payroll costing allocations, and accounting adjustments in Workday Reconcile monthly accounts and provide reports to leadership in the Office of Undergraduate Admission Track and monitor expenditures against budgets Assist in year-end closeout activities Engage in cross-training with other finance units within Enrollment to provide flexible and informed transaction support Process travel authorizations and reimbursements Support employees with travel and expense submissions Ensure compliance with UVA travel policies Coordinate with peers to share knowledge and support workload coverage during peak periods Maintain financial records and documentation for audits Support with document uploads and digital filing systems Respond to vendor and departmental inquiries Coordinate with Procurement and Finance offices for issue resolution Assist with reporting needs and data pulls from Qlik, Workday, or Adaptive Participate in Enrollment Finance team meetings to align practices and identify areas for process improvement Other duties as assigned. Minimum Qualifications: The successful candidate will have a high school diploma and at least two years of relevant experience. Additional experience may be considered in lieu of formal education. Candidates must demonstrate strong organizational, interpersonal, verbal, and written communication skills, along with a proven ability to work collaboratively and contribute effectively to team objectives. Knowledge, Skills, and Abilities: The candidate should be able to work effectively as part of a team to achieve shared goals. They must demonstrate clear and professional oral and written communication in daily interactions. Basic proficiency with computer applications and standard office software is required. Preferred Qualifications: A Bachelor's degree is preferred. Ideal candidates will have experience in accounting and budgeting tasks, including invoice processing, reconciliations, and budget monitoring. Familiarity with UVA systems such as Workday, Adaptive, and Qlik is highly desirable. Proficiency in Microsoft Office, particularly Excel, is also preferred. This position is in-person, located in Charlottesville, VA, with an anticipated start date of August 2025. A hybrid schedule allowing up to two remote workdays per week may be considered.
