Job Description
The System Offices is one of several system members within the Texas A&M University System representing one of the largest systems of higher education in the nation, with a network of 11 universities, a comprehensive health science center, eight state agencies, and the RELLIS Campus. Salary:
$3,657.34 - $4,166.67 per month commensurate with experience.
Job Description Summary:
The Events Coordinator, under general supervision, supports the coordination and execution of events and programs within Texas A&M Innovation. The position provides logistical and administrative assistance for event operations and supports digital platforms, communications, and post-event processes. The Events Coordinator ensures that all assigned tasks are executed with professionalism, attention to detail, and alignment with the office's strategic objectives.
Responsibilities:
Coordinates logistics for assigned events, including venue setup, catering support, signage assistance, registration materials, and AN needs.- Serves as on-site support during events, assisting with real-time logistics, guest flow, and other day-of event related tasks.- Maintains and organizes event-related records and files using Microsoft Teams, OneDrive, and other shared digital workspaces.- Updates and manages event registration platforms such as Accelevents and Livewhale; assists with data tracking and reporting.- Assists with contact list maintenance and enters information into CRM systems such as PipeDrive.- Prepares event materials including name badges, printed handouts, and signage (as needed).- Collects and compiles post-event data such as attendance and survey responses.- Drafts and sends communications including confirmation emails, reminders, and follow-ups under direction from supervisor.- Performs other duties as assigned to support efficient program and event execution.
Education and Experience:- Bachelor’s degree or equivalent combination of education and experience.- Two years of related experience in event coordination, administrative support, or program operations.
Knowledge, Skills and Abilities:- Ability to move event materials (up to 25 lbs) and assist with physical setup/tear down.- Ability to remain on feet for extended periods during events.- Must be able to work occasional early mornings, evenings, or weekends as event schedules require.
Ability to operate standard office equipment and communicate effectively in both in-person and digital formats.
Ability to multitask and work cooperatively with others.
Preferred Qualifications:
Experience using Accelevents or similar event management platforms (e.g., Eventbrite, CVENT). - Proficiency in Microsoft Office Suite (Outlook, Excel, Word). - Familiarity with CRM platforms such as PipeDrive. - Strong verbal and written communication skills.
Demonstrated ability to multitask, stay organized, and work in fast-paced environments. - Ability to work independently and collaboratively.
