The Veterinary Medical Teaching Hospital (VMTH) includes the Small Animal Hospital and the Large Animal Hospital, both of which are dedicated to the total well-being and care of a pet throughout its lifetime. Works under general supervision and provides advanced administrative support to the Veterinary Medical Park Service center team, with a particular focus on rate study oversight. Salary: Will be commensurate based on the selected hire's education and experience. Required Education and Experience: High school diploma or equivalent combination of education and experience. Four years of experience in general office or clerical work. Preferred Qualifications: Bachelor's degree in a business field. Knowledge, Skills, and Abilities: Knowledge of word processing, spreadsheet, and database applications. Verbal and written communication skills. Ability to multitask and work cooperatively with others. Strong written and oral communication skills, and attention to detail. Ability to work with sensitive information and maintain confidentiality. Strong independent judgment and be able to take initiative. Responsibilities: Administrative and Data Management: Answers phone calls and directs callers to appropriate personnel, signs for incoming packages, and assists internal and external customers. Maintains a variety of fiscal and administrative records. Verifies, processes, and reviews forms, reports, tables, and other documents. Assists in the planning of special events. May maintain office schedules and appointments. May set up meetings and other special events to include facilities, equipment, and food. Provides technical information regarding administrative procedures and services. Explains, applies, interprets, and communicates policies and procedures. Performs word processing, presentation and data management, and assists staff with the use of these applications. Creates and maintains spreadsheets and databases. Provides advanced administrative support and may serve as a personal assistant to the director of VTPK. VetMed Park (VMP) Service Department Rate Study: Assists with the annual rate study documentation and submission process. Collects and analyzes data required for rate study calculations. Prepares and maintains necessary documentation related to rate studies. Serves as the liaison with internal and external stakeholders involved in the rate study process. Ensures compliance with regulatory requirements related to rate studies. Supply Maintenance for VMP Service Center: Oversees ordering of goods and services, maintains purchasing records, uses Aggie Buy, and tracks spending. Verifies, processes, and reviews orders and packing receipts, as well as assists with the generation, scanning and processing of monthly invoices. Maintains open communication with the Finance department and principal investigator (PI) teams to ensure timely payments, accurate account status, and address any concerns related to invoices, payment cards, and other financial matters. Oversees various third-party services. Maintains office reference materials including online office materials. May deliver, pick up, or receive supplies, equipment or materials. Inventory Management: Coordinates the maintenance of files, records, office supplies, equipment, and university asset inventory. Why Texas A&M University?
