Title: Senior Payroll Administrator

A leading professional services firm is seeking a Senior Payroll Administrator to oversee the full-cycle payroll process and ensure accurate administration of time and attendance systems. This role is critical in maintaining payroll compliance, managing employee records, and collaborating closely with Human Resources and the Finance team to support a growing, multi-state workforce. This position manage and execute the Payroll Accounting for the company.
Key Responsibilities:
- Manage and process semi-monthly exempt and biweekly non-exempt payrolls for 550+ employees across multiple states using ADP Workforce Now.
- Ensure accurate payroll reconciliation, including pro-rata wage calculations, deductions, and tax withholdings.
- Administer payroll imports, including bonuses, additional payments, retroactive adjustments, salary changes, and benefit deductions.
- Oversee timecard entries and compliance within ADP’s Essential Time system.
- Coordinate with HR and Finance teams for payroll adjustments related to hiring, terminations, and compensation updates.
- Prepare and analyze payroll reports, including regular and ad hoc financial reporting.
- Manage pre-tax deductions such as HSA and flexible spending accounts to ensure annual goal accuracy.
- Process and calculate garnishments, ensuring compliance with federal and state regulations.
- Maintain and adjust annual payroll schedules as necessary.
- Enter and manage payroll-related data across various internal systems, including HRIS (ADP Workforce Now), Accounting, and Budgeting & Forecasting.
- Upload payroll general ledger journal entries and assist with account reconciliations.
- Provide cash flow estimates for payroll funding.
- Liaise with IT and tech support to troubleshoot payroll system issues.
- Handle banking information updates within the firm’s payment systems.
- Access and respond to unemployment claims and related inquiries.
- Prepare verification of employment letters for directors and employees.
- Collaborate with HR on annual compliance reporting (EEO, ACA).
- Maintain compliance with payroll regulations and recommend policy and procedure updates as needed.
- Research and resolve employee payroll inquiries, ensuring clear communication of policies and procedures.
- Maintain strict confidentiality of all payroll and employee data.
- Stay current with legislative changes affecting payroll by attending industry training and webinars.
- Cross-train a backup administrator to ensure continuity in payroll operations.
- Bachelor’s degree or equivalent experience required. CPP is a plus
- 8+ years of payroll administration experience, including time and attendance management.
- Strong knowledge of payroll tax, benefits deductions, garnishments, payroll accounting and regulatory compliance.
- Proficiency in Excel and experience with HRMS and Payroll Systems (ADP Workforce Now preferred).
- Background in a professional services environment is preferred.
- Exceptional problem-solving skills, attention to detail, and the ability to manage multiple priorities.
- Strong interpersonal and communication skills with the ability to interact at all organizational levels.
- Ability to work in a fast-paced environment, meet deadlines, and adapt to changing priorities.
