Nestled next to the protected open space of the Arastradero Preserve, Palo Alto Hills Golf & Country Club (PAHGCC) blends the outdoors, family, and exceptional golf in one of the most idyllic locations in the Bay Area. PAHGCC was built in 1958 and developed with a vision to be the family club inclusive of women and children and has been a leading example of family membership ever since. Our welcoming and distinctive Private Club provides a premier championship golf course, year-round recreation, and artistic culinary and social activities for Members, their families and guests.
Job Purpose
The purpose of this role is to enhance member engagement and satisfaction by developing and executing high-quality internal and external communications, marketing materials, and digital content for the Club. This position serves as the primary creative and strategic resource for all member-facing communications, managing the Club's website, social media, email newsletters, digital signage, and print collateral. Additionally, the role supports front-of-house operations as a concierge, ensuring exceptional member service and maintaining a welcoming environment. Through effective collaboration with all departments and proactive communication strategies, this role ensures that Club events, services, and initiatives are promoted and executed in a manner that reflects the Club's brand and commitment to excellence.
Duties & Responsibilities
MARKETING & COMMUNICATIONS:
- Serve as a graphics designer and/or editor for member-focused communications
- Collaborate with all internal stakeholders to create high-impact member content that is informative and engaging
- Manage the Club website, microsites, and mobile app
- Overseas club's internal messaging (bulletin boards and digital signage) and external (mobile app, website, social media)
- Manage and overseas weekly and monthly email newsletter, department spotlight emails
- Responsible for the overall production of the quarterly newsletter, including but not limited to content collection, establishing priorities & format, editing, sending to designer for printing and distribution.
- Create content for Club internal marketing, including but not limited to:
- Flyers for both physical and digital display in weekly and quarterly newsletters
- Digital displays including clubhouse monitors and golf cart screens
- Provide strategic recommendations for social media engagement, content planning, and overall digital presence
- Prepare & edit video for internal and external communications
- Assist with managing the communication and social media calendar
- Support project for filing and converting documents to digital format
- Manage production of all digital and print communications
- Recommends and implements strategies to meet club's membership goals
- Promote club activities and events in a manner that engages the membership
- Develops, manages and updates the club’s marketing plan
- Works with other club committees as needed to ensure members' interests are consistently addressed.
- Assists f&b, golf department and catering, when necessary, in the sales and promotions of outside events and tournaments
- Organizes production of membership kits
- Capture photographs of all member events and maintain an organized photo gallery database
- Lead the coordination and execution of member headshot photography
- Assist with prospective member tours, events, and early-stage engagement touchpoints
- Maintain prospective member files, checklists, and standard operating procedures (SOPs).
- Assemble and organize necessary files and folders
- Track prospect and applicant data in the CRM; support reporting, notes, and communication logs
- Provide administrative support to the Director of Marketing & Membership in all membership-related tasks
- Ensure consistency in member messaging and welcome experience across platforms and touchpoints
- Effectively responds to member comments in accordance with club standards, policies and rules; uses ideas, feedback and suggestions to continuously improve member services
- Assist Committee Chairs with printing, copying, scheduling
- Assist with club events by greeting guests and checking them in as needed
- Attend management and staff meetings in the absence of the Director or Membership & Marketing
- Participates in professional development opportunities
- Completes other appropriate assignments as instructed by the Director of Membership and Marketing
- Provide leadership and backup support to the Concierge/Front Desk team as needed
- Ensure service standards at the front desk reflect the Club’s values of care, respect, and excellence
- Maintain a welcoming atmosphere and brand consistency in public-facing areas and communication touchpoints
- Proactively greet everyone who calls or enters the property in a pleasant, outgoing and professional manner.
- Provide extra assistance (onboarding) to new members regarding rules, reservations, introductions, recommendations
- Answer all phone calls, respond to voicemail messages and email
- Supports team with courier options (Federal Express, USPS, etc)
- Review the Club website daily, update inserts, review & update calendar items
- Facilitate online carryout food + wine sales
- Complete reservations for Members for dining and special events
- Process event billing
- Assist in creating, posting, and placing special event menu collateral (flyers, labels, signs, etc.)
Knowledge, Skills, And Experience
- Bachelor's degree highly preferred
- At least 3+ years relevant work experience in private clubs or hospitality
- Strong working knowledge of social media platforms such as LinkedIn and Instagram
- Experience with website and mobile app maintenance
- Experience with Canva, Adobe, Microsoft office, Outlook, and CRM
- Exceptional creativity and organizational skills
- Ability to handle multiple tasks and meet established guidelines and deadlines
- Willingness to work a flexible schedule
- Creative and problem-solving mindset
- Professional, enthusiastic and engaging personality.
- Excellent written and verbal communication skills with the ability to deal effectively with all levels of management, fellow staff, members and their guests
- Self-motivated, proactive, with a positive mental attitude
- Must provide valid documents to work in the U.S.
- Valid California Driver’s License is required
- CPR/AED certified preferred but not required
- This position requires a flexible schedule for working evenings, weekends, and all holidays as determined by business needs
- Required to sit for long periods
- Must be able to reach, bend, stoop, stand and lift up to 30 pounds
- Must be able to work in a variety of environmental conditions, including both hot and cold temperatures, indoors and outdoors
- Public speaking at meetings and events may be required
- Must be able to handle indoor and outdoor conditions
- May be subject to loud music or noise
- This is a full-time exempt salaried position with a salary of $85,000.00
- Yearly bonus subjected to meeting quarterly objectives, job performance and goals
- Benefit package includes: Medical, Dental, Vision, 401K with up to 4% match, EAP, Life and AD&D insurance, PTO and Sick Time
- Complimentary meals provided six days per week, excluding designated aerification days
- Our premier championship golf course is open for staff to enjoy on select Mondays
