nGeneral Statement of Responsibilities:
nAt J&Y Law, the Records Clerk is a key member of the Pre-Litigation Team. This position is responsible for supporting the claims process by coordinating with healthcare providers, insurance companies, and internal teams. The Records Clerk plays a critical role in gathering and organizing all relevant documents, including medical records, bills, and liens, ensuring timely and accurate file preparation. Compassionate communication with clients, attention to detail, and proactive case file management are central to this role. By fostering trust and maintaining high-quality service, the Records Clerk helps ensure a positive client experience.
nKey Responsibilities:
nAssess case file completeness and secure missing pre-retainer documents as needed
nReview and verify the Intake and Retainer Packet for accuracy
nPrioritize Significant Injury (SI) cases for prompt attention
nRequest police reports, photos, call logs, and videos within 24–48 hours of new intake
nRequest ER hospital records and all pre-retainer records/bills within 24–48 hours of intake
nNotify government insurance providers (Medi-Cal, Medicare, IEHP, etc.) within 24–48 hours
nObtain incident reports for premises cases (if not included with R&I)
nRequest necessary documents for wrongful death cases
nUpdate case management software with all pre-retainer and non-lien medical provider details
nScan, name, and organize medical records and bills in the appropriate folders
nSave all other relevant reports and documents in the corresponding case folders
nNotify the Case Manager upon receiving records or reports
nConduct introduction calls when the file is forwarded to GFRD
nCompile all records, bills, and evidence required for demand packages
nObtain documentation for out-of-pocket medical expenses and loss of earnings (LOE)
nFinalize and verify accuracy of the request tab for all medical providers
nNotify clients when files are forwarded to the Demand Writing department and share writer’s contact
nRegularly review the 30-Day No Contact Report to ensure ongoing client communication
nPrepare GFRL (Getting File Ready for Litigation) cases with all required MD documentation
nSeek opportunities to encourage clients to submit positive online reviews
nMaintain professionalism and uphold J&Y Law’s reputation at all times
nDeliver a high level of client satisfaction throughout the claims process
nPerform other related tasks as assigned
