Job Description Salary: MECA Therapies is seeking a dependable and customer-focused Bilingual Office Administrator to support the daily operations of our outpatient clinic. As the first point of contact, you will play a key role in ensuring patients and families feel welcomed while also maintaining smooth administrative functions. The Office Administrator works closely with clinical staff and leadership to coordinate services, manage documentation, and support clinic productivity.

Key Responsibilities: Greet patients and families, answer incoming calls, and direct inquiries to appropriate staff. Manage patient referrals, intake paperwork, and

scheduling/rescheduling

of evaluations and visits. Check patients in/out, maintain accurate files, and update insurance, demographic, and contact information. Support benefit enrollment processes and ensure forms are completed and submitted timely. Assist with documentation compliance by ensuring files, authorizations, and physician summaries are up to date. Audit patient charts, maintain confidentiality in accordance with HIPAA, and ensure clinic quality standards are met. Help maintain clinic productivity by rescheduling missed visits and monitoring caseload assignments. Perform general office duties, including filing, faxing, preparing patient surveys, and maintaining a clean workspace. Participate in staff trainings and meetings, ensuring compliance with company policies and state/federal requirements.

Qualifications: High School Diploma or GED required; Associate degree or equivalent office administrative experience preferred. Prior experience in office management or healthcare administration is strongly preferred. Proficiency in Microsoft Word, Excel, and Windows-based applications. Excellent organizational, communication, and customer service skills. Ability to multitask, manage confidential information, and work as part of a collaborative team.

Bilingual English/Spanish required
