Nature & Scope:

Positional Overview

We are seeking a detail-oriented and highly organized Administrative Coordinator to provide comprehensive support for a large department. This role will be responsible for managing day-to-day administrative functions, coordinating meetings, and assisting with departmental projects, budgets, and reporting. The ideal candidate will demonstrate strong multitasking skills, excellent communication, and the ability to work collaboratively across teams to ensure efficient office operations.

Tasks That Will Lead to Your Success

Provide a wide range of administrative support, including word processing, ordering supplies, preparing meetings, scheduling travel, filing, and processing

timesheets/attendance. Draft correspondence, create and maintain spreadsheets, generate reports, and assist in the development of presentations. Support departmental projects by researching, compiling data, assisting with bookkeeping, payroll, and conducting light analysis as needed. Assist with the department’s budget process, including reconciling discrepancies in financial statements, tracking expenses, and supporting budget development. Coordinate office needs, including moves, renovations, repairs, and maintenance requests. Monitor and resolve administrative challenges, developing new processes and procedures to improve efficiency. Collaborate with and provide support to junior administrative staff as required. Preferred Qualifications:

High School Diploma required; associate or bachelor’s degree preferred. 3+ years of administrative support experience. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational skills with attention to detail and accuracy. Ability to manage multiple priorities and meet deadlines. Excellent interpersonal and communication skills. Experience with financial tracking, purchase orders, and budget reconciliation preferred.
