Reporting to the Chief Facilities and Administrative Officer (CFAO), this role supports the Dallas and Birmingham offices and blends operational oversight with events and facilities coordination to ensure an exceptional experience for attorneys, staff, clients, and guests. The Administrator manages vendor and building relationships, coordinates office services, supports meetings and events across both locations, and partners with key departments on firmwide initiatives. This position is eligible for a hybrid-remote schedule after training is complete.

Key Responsibilities

Oversees the daily operations of the Dallas and Birmingham offices, ensuring efficient delivery of services and a high-quality workplace experience. Supervises support staff and outsourced functions, including receptionist(s), facilities coordinators and service center personnel. Coordinates facilities management activities, including office maintenance, space planning, equipment needs, and vendor relationships. Serves as the primary liaison with building management in both locations, managing maintenance requests, building services, parking logistics, and invoice resolution. Manages office supply and equipment procurement, monitors inventory levels, and recommends cost-effective purchasing solutions. Supports a range of firm-sponsored events and client-facing functions in both offices, including receptions, conferences, and internal meetings; responsibilities may include food and beverage coordination, audiovisual setup, invitations, and on-site logistics. Coordinates and facilitates a range of onsite and offsite Firm meetings and events for the Firm including client receptions and business development events and/or conferences. Reviews vendor contracts related to events and facilities and routes them for appropriate approvals. Oversees onboarding and offboarding logistics for attorneys and staff in collaboration with Human Resources, IT, and other administrative departments. Coordinates records management, compliance projects, and emergency preparedness procedures in each office. Prepares and monitors annual office budgets, reviews invoices for accuracy and cost-efficiency, and processes payments in Chrome River. Supports firmwide initiatives by acting as a local administrative point of contact for departments such as Legal Support Services, IT, Marketing, and Professional Development. Participates in sustainability and business continuity initiatives to align with firm strategy. Maintains an active presence in both offices and travels regularly between locations to ensure alignment and oversight.

Knowledge, Skills And Abilities Required

Demonstrates strong leadership, delegation, and mentoring skills. Applies sound judgment, professionalism, and diplomacy when interacting with individuals at all levels. Brings hands-on project management and event planning capabilities and the ability to multitask and prioritize in a dynamic environment. Possesses advanced organizational, communication, and problem-solving abilities. Proficient in Microsoft Office Suite with a focus on Word, Excel, and PowerPoint. Embraces continuous process improvement and adapts to change with resilience.

Education And Experience Qualifications

Bachelors degree in Business or related field required. Minimum five (5) years of prior supervisory or management experience. At least five (5) years of operations experience in a legal or professional services setting required. CLM certification preferred.
