Entrepreneurial couple is looking for a high-touch Executive Personal Assistant / Estate Manager to support their busy family of four. In this role, you will streamline day-to-day operations by managing family calendars and partnering with the Principal's work admins to align commitments, managing and preparing for travel, planning events, booking appointments, and overseeing household staff. You will also manage the family's multiple residences, including preparing homes for family arrival, overseeing service providers and vendors, maintaining inventories, managing art collections, and other special projects as needed. Someone who is extremely organized, solutions-oriented, and can pivot effortlessly with shifting priorities. Previous experience managing multiple residences is desired. This is a hybrid role where you will need to be on-site as needed at either their SF or Peninsula-based homes, as well as the occasional need to travel to their out-of-state residence. Reliable car transportation is needed. 160-230K+ DOE + health benefits, discretionary bonus, and flexible PTO.

Responsibilities:

Manage day-to-day operations of household and personal administrative tasks for a busy family. Coordinate and manage complex domestic and international personal travel, including private and commercial flights, accommodations, and ground transportation. Travel occasionally to other in-state and out-of-state residences in advance to prepare for family arrivals. Manage and update the family’s calendar, including scheduling appointments.

Work collaboratively with the Principal's work Executive Assistants to ensure smooth operations for personal and business commitments. Source, vet, and oversee vendor relationships across various service categories. Develop and maintain household manuals, maintenance schedules, and operational checklists. Supervise home maintenance and repair work, ensuring high-quality completion, timeliness, and budget adherence. Plan and coordinate personal events, including vendor management, venue selection, invitations, and RSVPs. Manage and organize family wardrobes, including seasonal transitions, inventory tracking, and packing for trips. Source and vet personal stylists as needed. Oversee management of art collection, including installation, documentation, and insurance. Maintain detailed inventories of personal and household items. Oversee household staff and manage hiring, onboarding, and offboarding processes when needed. Implement and optimize household systems and processes for greater efficiency. Run errands as needed to support personal and household needs. Lead and manage special projects as assigned. Qualifications:

Previous 4+ years of experience as a Personal Assistant, Estate Manager, or similar role, ideally with a UHNW family. Experience managing multiple private residences and households, and p

roven success managing renovations and construction projects. Familiarity with working in a fast-paced environment. Highly organized with exceptional attention to detail. Strong ability to create and implement systems that enhance efficiency. High EQ with excellent interpersonal and communication skills. Professional, discreet, and confident with a warm and welcoming demeanor. Reliable follow-up and follow-through on tasks and commitments. Calm under pressure and solution-oriented with a flexible approach to changing priorities.

Ability to pivot effortlessly with shifting needs. Self-motivated and able to work independently while driving progress. Positive, approachable, and able to build rapport with a wide variety of stakeholders, including vendors, staff, family, and guests. Proactive, 24/7 mindset with flexibility and willingness to travel as needed. Must have a clean driving record and reliable transportation.
