Ultimate Staffing is seeking a Receptionist to manage front desk operations and provide cross-functional administrative support. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in delivering excellent service to both internal teams and external guests.
Key Responsibilities:
Serve as the first point of contact for visitors and staff, ensuring a warm and professional experience. Manage incoming calls, including answering, transferring, and conferencing using Microsoft Teams. Coordinate mail and package handling, including scanning, sorting, and distributing incoming and outgoing items via USPS, FedEx, and UPS. Maintain inventory of office supplies and refreshments, placing orders as needed. Keep shared spaces clean, organized, and welcoming. Support scheduling needs for leadership and assist with event coordination. Assist with document preparation, scanning, filing, and distribution across departments. Collaborate with various teams to ensure smooth operational workflows. Perform other administrative tasks as assigned. Top Skills for Success:
Microsoft Teams Proficiency
- Comfortable with chat communication, call handling, calendar navigation, and conferencing. Professional Services Experience
- Ability to present a polished and professional demeanor in a client-facing environment. High-Volume Phone Management
- Skilled in answering and transferring calls using a headset and Teams interface. Mail Processing Expertise
- Familiarity with postage meters and handling mail logistics across multiple carriers. Preferred Qualifications:
High school diploma or equivalent required; college degree preferred. Minimum of 2 years' experience in a professional office setting. Background in professional services, legal, or financial environments is a plus. Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams. Excellent organizational and communication skills. Ability to manage multiple tasks and prioritize effectively.
