25-26 Principal Clerk - Administrative Assistant, School Counseling Department (

JOB GOALS:
Under general supervision, performs administrative work for the Department and performs other duties as assigned. Organize and coordinate a wide variety of office functions related to the administration of diverse programs and operations at a school. Prioritize and schedule duties and assignments to assure efficiency and effectiveness and to meet established timelines. Communicate with District personnel to coordinate school operations and maintenance. Compute, record, and proofread data and other information, such as records or reports. Answer office phones, direct calls, and take messages or transfer calls to appropriate individuals. Operate office equipment such as fax machines, copiers, and phones, and use computers for spreadsheets, word processing, database management, and other applications. Troubleshoot problems involving office equipment. Submit orders and requisitions, communicate with vendors, maintain budget and bookkeeping documentation as directed by the Department Supervisor. Complete and mail bills, contracts, policies, invoices or checks. Addresses standard inquiries by letter, phone, email, fax or personal contact. Complete work schedules, manage calendars, and arrange appointments. Prepare meeting agendas, attend meetings, and record as assigned. Process and prepare documents, such as business and government forms. Assist with management, retrieval, and destruction of records within established guidelines. Maintains confidentiality of records. Greet and assist students, staff, parents/guardians, and any other visitors as needed. Prepare, create, and compose letters, reports, and other documents for the school/department or instructional programs; Establish and maintain cooperative and effective working relationships with others. Work confidentially with discretion and adheres to the appropriate code of ethics. Perform special projects as required. Other duties as assigned. QUALIFICATIONS:
High school diploma or equivalent, related school or office experience Knowledge of office procedures Ability to use office equipment, computers, and technology proficiently Must possess data entry skills Must have excellent oral communication skills Must be able to work well with others Ability to exercise good judgment and common sense Ability to manage multiple tasks simultaneously and under pressure with accuracy and accountability Ability to make decisions and solve problems Demonstrated aptitude and competence for other assigned responsibilities
Rate of Compensation: In accordance with AFSCME Clerical Collective Bargaining Agreement
