SALARY: Per Clerical Contract - Class B Administrative Assistant Range: $19.09 - $25.02 per hour based on experience •Coordinates, organizes and performs the day-to-day secretarial functions of the MRHS Counseling Office; a dynamic ever changing environment interacting with high school students, professional staff, Families and community members. •Create and maintain a welcoming environment for all students and families. •Maintain a high degree of confidentiality regarding all aspects of the school site operation. •Process and communicate confidential and sensitive material and student personal information discreetly and ensure the release of personal information and educational records is in accordance with privacy laws. •Provide secretarial assistance to the Counseling Staff including the Director, all counselors, school counselors, adjustment counselors, and various interns, relieving them of administrative details •Perform a wide variety of secretarial work, including typing/word processing, proofreading, filing, recording information, and processing and distribution of all correspondence, much of which is of a confidential nature. •Schedule appointments for students and families to meet with counselors. •Schedule representative visits for colleges, trade schools, and the military and coordinate student appointments with representatives. •Plan and prepare materials for a variety of meetings and/or professional development sessions. •Participate in student registration and enrollment activities; request student records from other schools as needed; provide transcripts to students, parents, staff, schools and others as requested; process student enrollments and dis-enrollments; maintain roster for incoming and outgoing students. •Support the coordination of college, district and state testing and assessment for school site testing, file test results in student cumulative files including MCAS, PSAT, SAT, ACT, and AP tests. •Assist in various clerical duties in the main office and assistant principal's office including greeting visitors, answering telephones, staff calls, distributing mail. •Assist the Student Athletic Office with coverage and student support. •Sign in/dismiss students and supervise students waiting to see counselors. •Coordinate communication with LPVEC bus company. •Prepare student transcripts for alumni and current students. •Gain sufficient knowledge of SchoolLinks/college application process platform to be proficient in-processing required documents to send/mail transcripts and supporting documents to colleges. •Gain sufficient knowledge of student management software Rediker, PlusPortals or other assigned software process and post student information, schedules, and produce associated reports. •Operate a computer with knowledge of specific software programs; operate a telephone, photocopier, intercom, fax machine, calculator and other office equipment. •Manage the Counseling Center page on the school website. •Coordinate school site and on-line school registration process; prepare enrollment and transfer forms; assist parents with proper completion of forms; confirm residency requirements for district students attending out of district schools; request new student files; orient new families and students to the school; import new student information into the Rediker student management system. •Maintain student cumulative files, coordinate the transfer of files from the middle-schools to the high school annually in the summer. •Organize and coordinate scholarships for students; process all scholarship announcements and forms in school and on the website, update the scholarship list; distribute applications. •Maintain department budget documents, process purchase orders, collect payments for testing, transcripts, etc. and process deposits as required. Maintain the security of all funds in accordance with district policies. •Coordinate and request needed office supplies and other required items to support the Counseling Center. •Process student withdrawals and collect outstanding debts. •Maintain the Counseling Center Calendar of events. •Initiate and process Event Approval forms for Counseling Center events. •Schedule and communicate Counseling Center Events. •Complete and mail 5-day and 10-day attendance letters related to State truancy reporting requirements. •Assume other tasks and responsibilities as may be assigned by the Principal.
