Director of Family Office Operations (Houston, TX) Position Summary A private family office is seeking a
Director of Family Office Operations
to oversee the financial and administrative functions of a multi-entity environment. This individual will serve as the financial and operational quarterback, ensuring that day-to-day back-office activities such as bill pay, payroll, reconciliations, and tax documentation run seamlessly. While some assets are transitioning to third-party management, the Director will continue to play a critical role in maintaining financial continuity across entities, coordinating with advisors, and ensuring smooth operations. This position requires discretion, humility, and the ability to adapt as responsibilities evolve. The ideal candidate is a detail-oriented professional who is comfortable managing both financial and administrative tasks in a private, low-turnover office environment. Key Responsibilities Manage accounts payable, receivables, deposits, and financial reconciliations across multiple entities. Oversee banking and brokerage accounts, including monthly reconciliations and cash flow tracking. Support partnership and trust administration, including distributions, capital calls, and reporting. Handle payroll processing and filings for household and other employees; coordinate with external providers as needed. Collect, track, and prepare documentation for tax filings (1099s, K-1s, W-2s, gain/loss statements). Serve as liaison to external CPA/tax firm and support quarterly estimates and year-end filings. Maintain comprehensive documentation, organizational systems, and institutional knowledge across entities. Assist with personal and family-related financial matters, including account openings, credit card management, and travel/tax documentation. Provide reporting and visibility to principals on distributions, cash activity, and high-value transactions. Collaborate on seasonal projects such as gifting, trust distributions, benefits renewals, and estate-related coordination. Flexibly adapt as responsibilities shift with changes to asset management and family needs. Qualifications 10+ years of experience in family office, private client, trust, or multi-entity accounting. Strong proficiency in bookkeeping, reconciliations, and financial reporting. Knowledge of payroll administration and tax documentation. Advanced organizational and documentation skills with high attention to detail. Proficiency with QuickBooks, Bill.com, and Excel. Proven discretion and ability to handle confidential information. Comfortable liaising with tax, legal, and financial professionals. Preferred Experience Background working in high-net-worth or family office environments. Familiarity with complex trust and partnership structures. Experience supporting both financial and administrative/personal functions. Payroll tax compliance knowledge (household or agricultural employment a plus). Seniority level
