Position Summary: The HCV Clerk/Receptionist is responsible for answering phones and greeting HAJ visitors and answering questions, providing/receiving program specific paperwork, filing and day-to-day operations and basic functions of the HAJ.

- Type, proofread and/or send a variety of reports, letters, memos and emails
- Perform various clerical duties including but not limited to:
- Accepting and providing clients with paperwork
- Answering phone calls and fielding questions
- Assisting HCV staff with filing paperwork
- Providing clients with copies of paperwork or assisting HCV staff with making copies
- Assisting in preparing moving folders for HCV staff
- Assist HCV staff in preparing and/or mailing recertification packets and other documents to clients/landlords
- Assist HCV staff in file creation and/or preparation for annual and interim interviews
- Assist HCV staff in sending and/or tracking verification requests and send follow-up notices as required
- Facilitate signatures with landlord and client on HAP contract
- Assist in tracking repayments on spreadsheet, provide receipts for clients who have repayment agreements
- Organizes appointments, briefings and meetings for HCV staff with clients and/or landlords
- Operate a variety of office equipment including computers, copiers, fax and scanners
- Input and retrieve data and organize and maintain data records and files
- Able to maintain strict confidentiality of information
- Perform other duties as assigned
- Computer proficiency with Microsoft Office Suite products and a variety of other software applications

- Physical demands: While performing duties of job, employee is occasionally required to stand; walk; sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms; talk and hear. Employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to focus.

- High School Diploma
- One-year experience as Clerk/Receptionist and at least one-year experience in one or more disciplines, housing choice voucher program, low-income public housing program, real estate, property management or other social service areas (WIC, TANF, SNAP, etc)
- Knowledge of file retention and protocol
- Must pass a basic HCV training course within 6 months of hire
- Must possess a valid Illinois driver’s license or be eligible to obtain one
- Must be able to pass a criminal background check
- Associate’s degree from an accredited college or university with a major in Finance, Information Technology, Urban Planning, Business/Public Administration or related field
- Two years’ experience as Clerk/Receptionist and at least two years’ experience in one or more disciplines housing choice voucher program, low-income public housing program, real estate, property management or other social service areas (WIC, TANF, SNAP, etc)
- Working knowledge of housing programs and social services programs in the Joliet area
- Fluency in one or more languages (Spanish preferred)
- Must possess a valid Illinois driver’s license or be eligible to obtain one
- Must be able to pass a criminal background check
