NE11 Position Summary:

Under general supervision of the Housing Choice Voucher (HCV) Department Manager, the HCV Clerical Assistant acts as primary receptionist for the HCV Department; greets visitors, screens telephone calls, and responds to those inquiries that do not require the involvement of the staff persons; provides general information to all persons inquiring about the program; assists the HCV department in maintaining a liaison with program participants, landlords and outside agencies. Minimum Qualifications: ·

Possesses the knowledge equivalent of a high school diploma. ·

Two years of work experience involving significant public contact ·

Must type a minimum of 35 words per minute. ·

Valid VA driver’s license and maintain a driving record acceptable to RRHA and its insurance carrier(s). Preferred Qualifications: ·

Proficiency in Microsoft Office, including Outlook, Work and Excel. Essential Functions and Responsibilities: Maintains office traffic log and waiting area. Assists residents and the public in completing forms which affect management operations and functions. ·

Provides information on established routines and procedures to clients and landlords as needed. Answers office phone pleasantly and professionally. ·

Assists clients and landlords with the signing of new leases and contracts. Helps maintain and organize general office files. Assists in data entry tasks (entering applications, scheduling interviews). Assists with monthly re-examination process. Adheres to guidelines as outlined in the Administrative Plan for HCV. ·

Assists with managing HCV waiting list. ·

Answers client inquiries concerning rent, special maintenance, damage, and other charges or fines that have been levied by the landlord; takes client complaints regarding a landlord’s failure to repair or maintain a rental unit and passes it along to the HCV Department Manager; follows through on general complaints with program participants. ·

Assist HCV Department Manager as needed.

Knowledge, Skills, Abilities, and Other Requirements: Knowledge of basic administrative and office management practices and procedures. Good oral and written communication skills. Ability to compose correspondence on routine matters.

Knowledgeable of business English, spelling, punctuation, grammar, format, vocabulary, composition and tone. Ability to perform routine office clerical functions with minimal supervision. Knowledgeable in the use of a personal computer, fax machine, copiers, scanners, and other office equipment. Demonstrated proficiency in Microsoft Office Suite, Internet, and Microsoft Outlook. Accurate keyboarding skills of 35 wpm. Ability to provide prompt, courteous, and tactful customer service to residents and the general public even when situation is stressful and problematic. Strong organizational skills. Ability to demonstrate predictable, reliable, and timely attendance. Ability to follow written and verbal directions and to complete assigned tasks on schedule. Ability to learn from directions, observations, and mistakes, and apply procedures using good judgment. Ability to work independently or part of a team; ability to interact appropriately with others. Ability to work with supervision, receiving

instructions/feedback,

coaching/counseling

and/or action/discipline.

Physical Demands:

This is primarily a sedentary job which requires a sighted individual (i.e., vision corrected to 20/20) for extended computer usage and reading detailed paperwork and requires an individual with normal hearing (i.e., hearing corrected to normal ranges) for face-to-face interviews with clients or prospective applicants and direct [or telephone] contact with clients, landlords, other employees, and the public. Significant data input (keyboard) duties require sufficient manual dexterity to type at a speed of 45 words per minute. Work environment has moderate to disagreeable conditions. ·

Work Environment:

Work is primarily performed indoors. Performance Standards: ·

Must complete the Fair Housing Training certification within twelve (12) months of employment and yearly thereafter. ·
