Reports To:

Office Manager and Company Owner

Job Summary:

We are seeking a reliable, detail-oriented Office Administrator to support the daily operations of our civil construction company. The ideal candidate will manage administrative tasks, assist with job tracking, handle document control, and maintain smooth communication between the office, field superintendent, and clients. Experience in construction administration is highly .

Key Responsibilities:

Administrative & Office Support

Manage phones, emails, mail, and general office communications.

Maintain digital and paper filing systems for project documentation, invoices, and permits.

coordinate vendor services as needed.

Support leadership with calendar scheduling and meeting preparation.

Project & Document Management

Prepare and track submittals, RFIs, change orders, and project logs.

Support creation and upkeep of project folders, tracking sheets, and kickoff checklists.

Assist project managers with setting up job books and maintaining compliance records.

Submit utility locates and track Right-of-Way (ROW) permit applications.

Finance & Bookkeeping Support

Enter vendor bills and employee receipts into accounting system (QuickBooks Online).

Help prepare payroll summaries, certified payroll reports, and lien waivers.

Track accounts payable/receivable with direction from the bookkeeper.

Bid & Job Tracking

Maintain shared calendar for bid due dates, job starts, inspections, and deadlines.

Upload documents to bid platforms and communicate with GC estimators or city contacts.



Compliance & Safety

Assist with EEO, DBE, OSHA, and other compliance-related documentation.

Keep safety logs current and support team in preparing jobsite documentation.



Qualifications:

Education & Experience

High school diploma or equivalent required.

2+ years of office administration.

Prior experience with QuickBooks, project management platforms, or permitting is a plus.

Skills

Proficient with Microsoft Office Suite (Excel, Word, Outlook).

Familiarity with construction terms, processes, and billing.

Strong organizational, multitasking, and communication skills.
