BASIC PURPOSE The purpose of this position is to provide administrative and clerical support to the Corps Officer(s) and Director of Operations to ensure the efficiency of Corps operations. This position will work directly with personnel, volunteers, vendors, and clients, while providing assistance with accounts
receivable/payable,
statistics, reception area duties, and other support as needed. B. ESSENTIAL DUTIES AND RESPONSIBILITIES
Be present, serving at the first representative of The Salvation Army Yuba Sutter Corps in the Corps’ Lobby / Reception Area. The reception are is to be staffed during business hours. Ensure that the phones are answered in a timely Maintain a clean and tidy reception area. Responsible for receiving all mail for the organization, to be opened with another staff member, and sorted for distribution to appropriate departments for follow-up. Responsible for assisting with Corps bookkeeping procedures. Working with the Finance & Contracts Manager to ensure the proper
processing/depositing
of funds Utilize Finance Web to process and submit Corps invoices for payment. Produce and process all correspondence, including but not limited to letters, email, cards, mail merge and mass mailings as Assist in managing and maintaining volunteer files. Work in coordination with the Corps Officer{s) and/or Director of Operations regarding volunteer recruitment, training, and Work with the Finance & Contracts Manager to manage and maintain office files and record keeping, including mileage logs, vendor file, deluxe logs, GIK logs, Maintaining confidentiality is required when handling these documents. Works with Officer(s), Director of Operations, and Finance & Contracts Manager to prepare for Maintain up-to-date files per Salvation Army policies and Assist, when requested, with any special Social Services Programs such as Back-to-School, Thanksgiving, Christmas, Manage and maintain office supplies and equipment, communicating any needed repairs or restocking to the Director of Operations for purchase approval, as In coordination with each department, develop and maintain an office, corps, and community Input statistics received from various corps and social service departments into the Corps Management System and Turbo Stats Open and/or close office when Take Minutes at all regular Advisory Board and staff meetings. Minutes are to be typed up, reviewed by the Corps Officers and then distributed to the appropriate party(ies). Send out thank you letters when needed Other duties as required and assigned by Corps Officer(s) or Director of Operations. C. KNOWLEDGE, SKILLS, ABILITIES AND OTHER QUALIFICATIONS REQUIREMENTS
High school diploma or equivalent required. Associate’s degree or coursework in business administration, office management, or a related field preferred but not required. 1–2 years of experience in a receptionist, front desk, or administrative support role preferred. Demonstrated ability to provide excellent customer service in person, over the phone, and via email. Experience handling multi-line phone systems, scheduling appointments, and managing calendars. Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment (printers, copiers, scanners). Demonstrate strong written and verbal communication Spanish-speaking skills, preferred. Ability to prioritize work, multi-task simultaneous projects, and work well under pressure, while receiving direction from multiple supervisors. Familiarity with filing systems, record keeping, and data entry. Prior experience working in a nonprofit, healthcare, or office environment is a plus but not required. Flexibility / Adaptability Ability to maintain confidentiality of sensitive information. Have strong interpersonal communication skills for interacting with The Salvation Army Officers, staff, and the public Must have ability to empathize, communicate, and work with a variety of people from diverse Demonstrate the ability to relate positively and energetically with staff, clients, and community Must be able to work independently, with minimal supervision.. Be a team Additional training or certification in office administration, customer service, or clerical support is a plus. D. PHYSICAL REQUIREMENTS:
Ability to operate a keyboard is Ability to operate under stressful working conditions in a rapidly changing work environment with multiple priorities is required. The employee must occasionally lift and/or move up to 30 pounds. Some travel may be Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis Ability to grasp, push, and/or pull objects Ability to reach overhead Ability to operate telephone Ability to process written, visual, and/or verbal information Ability to operate basic office equipment and tools Qualified individuals must be able to perform the essential duties of the position with or without accommodation.
