Executive Administrative Assistant

Manage and maintain executive schedules, including appointments, meetings, and travel arrangements. Prepare and edit correspondence, communications, presentations, and other documents. Handle incoming and outgoing communications on behalf of executives, including emails, phone calls, and mail. Meeting Coordination

Schedule and organize executive meetings, including agenda preparation, meeting materials, and minutes. Ensure executives are fully prepared for meetings by providing relevant documentation. Coordinate logistics for both on-site and off-site meetings and events. Travel Arrangements

Arrange detailed international and domestic travel plans, itineraries, and agendas. Ensure all travel logistics align with company policies and accommodate any last-minute changes. Office Management

Maintain and organize executive office operations and procedures. Oversee office supplies and equipment, ensuring everything is well-stocked and functioning properly. Handle sensitive and confidential information with the highest level of discretion. Project Management

Assist in the planning and execution of special projects as needed. Coordinate with various departments to ensure project milestones and deadlines are met. Communication

Act as a liaison between the executive team and internal/external stakeholders. Communicate professionally and effectively with all levels of staff and external partners. Reporting and Documentation

Prepare executive-level reports, summaries, and documentation as needed. Maintain accurate records and efficient filing systems. Qualifications

Education: Bachelor's degree in business administration or a related field preferred. Experience: Minimum of 10 years in an executive administrative support role. Flexibility: Available for occasional non-standard work hours, including weekends and holidays as needed. Clean MVR: Valid and clean driving record required. Travel: Willingness and ability to travel internationally and domestically with notice. Skills

Exceptional organizational and time management skills. Strong written and verbal communication capabilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to handle confidential matters with the utmost integrity. Strong attention to detail and problem-solving skills. Ability to work independently and collaboratively within a team. Professional demeanor and appearance required. Will not be using external agencies for this role
