Executive Assistant
We're seeking an experienced Executive Assistant to provide high-level administrative support to the CEO and assist with board-related activities. This is an excellent opportunity for someone who thrives in a small, fast-paced environment and enjoys handling a variety of responsibilities with minimal micromanagement. Location: Chicago, IL Industry: Nonprofit Pay: $70,000
$80,000 annually (based on experience) Benefits: This position is eligible for medical, dental, vision, and 401(k). About Our Client: Our client is a mission-driven nonprofit organization focused on advancing education and certification within its specialty field. They are a small, collaborative team that values trust, integrity, and professionalism. Key Responsibilities: Serve as the primary administrative support for the CEO, handling day-to-day scheduling and communications. Coordinate board meetings, including travel arrangements, accommodations, agenda preparation, and on-site logistics. Manage expense reporting and invoicing processes, including data entry in Bill.com and tracking in Excel. Prepare and distribute meeting materials and maintain online board software with accurate, up-to-date information. Assist with annual registration processes for members and ensure compliance with deadlines. Support CEO with special projects and organizational initiatives. Travel as needed for board meetings and annual events (including some weekends). Qualifications: 3+ years of experience as an Executive Assistant or Senior Administrative Assistant. Proficiency in MS Office Suite; experience with Concur or Bill.com a plus. Strong organizational skills and attention to detail. Ability to manage multiple priorities with professionalism and discretion. Excellent communication skills and a customer-service mindset. Additional Details: Schedule: MondayFriday, 8:00 AM5:00 PM. Some travel required (including occasional weekends). Reports directly to the CEO and works closely with an engaged board of directors.
