Executive Assistant
Addison Group is actively seeking a high-level Executive Assistant for our client, a respected organization in the senior care and health services space. This contract-to-hire opportunity is ideal for a proactive, tech-savvy professional with strong leadership skills and a background supporting senior executives and board-level operations. About the Role:
As the Executive Assistant/Office Manager, you will act as a key partner to the CEO and executive team, managing daily office functions and high-level administrative tasks. This includes leading the front desk team, coordinating board and leadership meetings, and overseeing internal communications and document compliance. This role is highly visible and requires polished communication, discretion, and strong organizational skills. Key Responsibilities:
Executive Support & Office Management: Serve as the right-hand to the CEO; manage calendar, travel, communications, and stakeholder engagement. Support senior leadership with document preparation, meeting logistics, and internal coordination. Draft and edit presentations, reports, and correspondence with a high level of accuracy and professionalism. Board Administration: Coordinate logistics for Board of Directors meetings, including travel, materials, minutes, and follow-ups. Track key decisions, ensure timely distribution of agendas, and liaise with stakeholders to gather content. Ensure compliance with internal procedures and prepare reports in collaboration with appropriate departments. Executive Team Coordination: Plan, schedule, and support weekly and monthly executive and leadership team meetings. Create agendas, take and distribute minutes, and ensure accountability for follow-up items. Collaborate with finance, development, and communications teams on action plans, newsletters, and updates. Team Leadership: Supervise front desk personnel and a special projects assistant, ensuring smooth daily operations. Provide coaching and leadership in customer service and professional etiquette. Coordinate IT setup and administrative tools to support organizational effectiveness. Office & Document Oversight: Maintain organized, secure records for licensing, insurance, compliance reports, and contracts. Manage executive office budget and supplies; oversee centralized contract documentation. Serve as a liaison for interdepartmental projects and maintain internal communication systems. Qualifications:
Bachelor's Degree required (Business Administration or related field). 68 years of experience supporting C-Suite executives, preferably in healthcare or government. Proven leadership/supervisory experience (direct reports include administrative and front desk staff). Expertise in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Teams); SharePoint or ADP experience is a plus. Exceptional written and verbal communication skills. Ability to manage multiple priorities in a fast-paced environment with professionalism and discretion. Strong interpersonal skills and high emotional intelligence. Additional Details:
