SUMMARY:
The Administrative Specialist will play an integral role in supporting the Finance Departments daily operations. This individual will assist the CFO, Controller, and both Accounts Payable and Accounts Receivable teams with a wide range of administrative and financial tasks. Responsibilities include processing invoices, maintaining financial records, and assisting with financial reporting and compliance. The role also involves identifying process improvements to streamline departmental efficiency. ESSENTIAL DUTIES AND RESPONSIBILITIES
Include the following; other duties may be assigned: Help with processing invoices, payments, and purchase orders. Assist with tracking and reconciling accounts payable and accounts receivable records. Ensure timely and accurate data entry in accounting software. Assist with preparing financial reports, budget tracking, and audits. Gather financial documentation for internal and external reporting requirements. Perform clerical tasks such as filing, organizing documents, and maintaining financial records. Identify opportunities for increasing efficiency in financial processes. Assist with implementing systems to streamline workflows within the finance department. Collaborate with team members to resolve inefficiencies or roadblocks in financial operations. Provide administrative support for finance meetings, including scheduling, preparing materials, and note-taking. Respond to finance-related inquiries and provide assistance. Maintain accurate financial records in digital and physical formats. Ensure documentation is filed correctly and complies with organizational policies. Support audit and review efforts by gathering necessary documentation. Monitor adherence to organizational policies and financial best practices. Operate motor vehicles safely in accordance with State Law during work duties. EDUCATION and/or EXPERIENCE
Bachelors Degree in Accounting, with comprehensive knowledge of internal control policies, accounting theory, GAAP, FASB, and account inter-relationships. Demonstrated ability to maintain systematic accounting records, analyze data, review general ledger accounts, and prepare financial reports. SCHEDULE
Monday to Friday, 8 AM - 4 PM RATE
