Philanthropy Coordinator

Job purpose:

The Philanthropy Coordinator provides comprehensive administrative, relationship management, and event coordination support to the Philanthropy team. This role is responsible for organizing donor information, managing a centralized database, coordinating philanthropic events, and serving as a key liaison for donors, partners, and internal stakeholders. This position requires exceptional organizational skills, attention to detail, and a high degree of professionalism in all interactions.

Duties and Responsibilities: Maintain and update donor records, contact information, and giving history in the organization's donor relationship management (CRM) system. Consolidate all philanthropy-related contracts and agreements into a single organized database, ensuring accuracy and ease of access. Track and report on donor engagement, pledge fulfillment, and giving trends. Prepare reports, presentations, and donor profiles for the philanthropy team and leadership. Manage correspondence, schedules, and meeting logistics for philanthropy staff. Act as a professional and welcoming liaison for donors during in-person visits, phone calls, and virtual meetings. Coordinate and prepare donor thank-you letters, gift acknowledgments, and follow-up communications. Assist in drafting, editing, and distributing newsletters, donor updates, and other communications to keep supporters informed and engaged. Assist with donor stewardship activities to strengthen relationships and encourage continued engagement. Support donor recognition initiatives, such as plaques, annual reports, and event acknowledgments. Assist in planning and executing philanthropic events, including donor receptions, fundraising dinners, community outreach programs, and recognition ceremonies. Coordinate logistics such as venue selection, catering, invitations, RSVPs, and materials preparation. Provide on-site event support, including check-in, guest relations, and troubleshooting. Maintain event records, feedback, and post-event reports. Work closely with communications, finance, and clinical program teams to ensure donor information and event messaging is accurate and aligned with organizational priorities. Support internal training or briefings related to donor engagement best practices. Other duties as assigned. Qualifications

Associate's or Bachelor's degree preferred, or equivalent relevant work experience. 2+ years of experience in administrative support, donor relations, fundraising, or event coordination. Experience working in a nonprofit, philanthropy, or fundraising environment preferred. Strong organizational skills with the ability to manage multiple priorities and meet deadlines. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and database/CRM software (e.g., Raiser's Edge, DonorPerfect, Salesforce, etc.). Excellent verbal and written communication skills. Strong interpersonal skills with the ability to interact with donors, board members, and senior leadership professionally and respectfully. Detail-oriented with a high degree of accuracy. Ability to maintain confidentiality of sensitive donor and organizational information.

The employee is required to walk between multiple office locations that include the use of stairs (elevator is only available in some instances).

This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.
