POSITION OVERVIEW

The Events & Program Manager is the heartbeat of our club's social and competitive calendar, designing, planning, and delivering a seamless blend of pickleball programming, high-end social events, and curated member experiences. This role is a combination of strategist, host, and creative producer. From league play to themed dinners, corporate rentals to charity tournaments, you will ensure every moment at Hamlin House reflects our signature blend of sophistication, fun, and community.

As the Events & Program Manager, you'll collaborate closely with the operations, culinary, and hospitality teams to execute an annual calendar of events and programs that attract members, guests, and local partners. You'll be responsible for ideation, scheduling, vendor coordination, budget management, and on-site event execution while also building relationships that keep our community engaged throughout the year.

DUTIES AND RESPONSIBILITIES

Event Concept & Planning - Develop, plan, and manage a robust calendar of social, culinary, and special events for members, guests, and the public. Program Management - Curate membership events to enhance the membership experience, including wellness and social programming. Hospitality Integration - Collaborate with the culinary and bar teams to design signature dining experiences that complement events and enhance the club's elevated brand. Member Engagement - Cultivate a warm, welcoming atmosphere where members feel known, valued, and excited to participate in events and programs. Partnership Development - Work with vendors, sponsors, and local businesses to support events and programs while strengthening Hamlin House's presence in the community. Budget & Reporting - Manage event budgets, monitor ROI, and provide post-event analysis to guide future planning. Marketing Support - Partner with marketing to promote events through email, social media, and in-house signage. On-Site Event Management - Lead event set-up, day-of execution, and post-event wrap-up to ensure a flawless experience from start to finish. Innovation & Trend Awareness - Stay ahead of hospitality, lifestyle, and pickleball trends to keep our offerings fresh, relevant, and aspirational. QUALIFICATIONS AND EXPERIENCE

3-5 years in event planning, program management, or hospitality leadership, luxury, lifestyle, or sports environments preferred, and/or bachelor's degree in hospitality, event management, recreation management, or related field, or equivalent experience. Proven track record of managing events from concept through execution with an eye for detail and excellence. Strong organizational skills with the ability to manage multiple projects, shifting priorities, and tight timelines. Exceptional interpersonal and communication skills with the ability to engage diverse audiences, from members and guests to corporate partners and vendors. Creative mindset with the ability to design experiences that feel fresh, polished, and on-brand. Knowledge of pickleball, racquet sports, or recreational programming is highly desirable. Proficiency in event management tools, scheduling software, and Microsoft Office Suite; familiarity with POS systems a plus. Flexibility to work evenings, weekends, and holidays as dictated by event and program schedules.
