Primary Purpose:

Provide comprehensive administrative and operational support to the Business Services department; Oversee the fingerprinting and badging portions of the onboarding process of new employees, ensuring timely communication and customer service; Actively engage in actions that contribute to Clear Creek ISD's overall mission and strategic plan.

Qualifications:

Education/Certification/Licensure

High school diploma or GED

Special Knowledge/Skills

Strong communication and interpersonal skills

Excellent organizational skills

Demonstrated knowledge of computer software to create and maintain files, databases, and spreadsheets

Knowledge of the District's employee benefits plans

Ability to be diplomatic and empathetic with employees

Ability to maintain strict confidentiality

Ability to work independently with minimal supervision

Experience

Minimum of 3 years of general office experience

Business office experience with an educational institution preferred

Major Responsibilities and Duties

Support the onboarding process by guiding employees through required tasks, serving as a knowledgeable point of contact for general questions related to employment services and benefits. Assist new employees and consultants with scheduling fingerprinting appointments, perform fingerprinting services, track and maintain receipts, and reconcile monthly charges for fingerprinting services. Badge new employees after verifying completion of onboarding tasks, assist with the completion and verification of I-9 employment eligibility forms, and ensure compliance with district onboarding procedures. Provide replacement badges for existing employees. Manage the badging schedule. Monitor and replenish badging supplies as needed. Communicate with campuses and departments to notify them once new hires are approved to begin work. Review position control forms and update the position control spreadsheet to reflect approved changes in staffing and assignments. Scan and upload employee transcripts and service records, ensuring originals are returned to employees. Support the employment services staff with tasks related to consulting agreements, tuition reimbursement, and annual LORA tracking. Assit the benefits staff in answering basic benefits inquiries from employees. Ensure the CCISD website and Portal contain current and accurate information. Provide administrative support by answering the telephone, opening/distributing mail and e-mail, filing, scanning, and mailing documents, and maintaining/ordering departmental supplies. Complete departmental purchases and print shop orders. Process various vendor check requests. Process timecards and requests for time off for departmental personnel. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met. Maintain a positive and professional tone in all communication (i.e. email, written, and verbal). Perform other duties and accept other responsibilities as assigned.
