POSITION SUMMARY:

This position is responsible for providing administrative support to the Loan Operations team and excellent customer service to NCB's internal and external customers.

PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES: 1. Receive, monitor, and distribute incoming mail, documents, and correspondence. Ensure the correct and timely distribution to Loan Operations team members. 2. Responsible for all paper mailings both incoming and outgoing, with support from Corporate Services. This task will evolve to an oversight/quality control role as the Loan Operations team transitions to electronic mail for correspondence. Mailings include default notices, monthly loan maturity notices and loan covenant notices. 3. Monitor supply management. Prepare all requests for supplies and submit to management for approval. 4. Act as a liaison between internal and external customers providing caller assistance and, when necessary, routing calls to the appropriate internal parties. 5. Work with the confirmations team to process loan audit requests received from borrower's accounting firms. 6. Provide routing administrative support for the escrow team that includes: a. Assist with the annual escrow analysis mailings primarily during the months of April and August. b. Copy outgoing tax payment checks and tax bills and mailing payments via overnight delivery. Ensure the copies including tracking receipts are coded correctly and provide to the Enterprise Content Management team. c. Copy outgoing insurance premium checks and insurance invoices and mailing payments via overnight delivery. Ensure the copies including tracking receipts are coded correctly and provide to the Enterprise Content Management team. 7. Assist the management team with routing monthly reporting items. 8. Assist team with remote capture deposit of incoming checks. Scan incoming checks for deposit. 9. Process vendor invoices for payment approval.

SECONDARY RESPONSIBILITIES AND ACCOUNTABILITIES: •Assist with special projects as needed.

COMPETENCIES: •Must have excellent customer service skills and the ability to deal with difficult clients in a professional manner. •Firm knowledge of common software applications, including Microsoft Excel, Word, Chrome, and Outlook. Ability to learn and effectively utilize proprietary software applications. •Excellent organizational skills to effectively manage multiple job duties and personalities. •Effective time management skills prioritizing multiple duties according to importance and deadlines.

ROLE QUALIFICATIONS: Education •High School Diploma, college or equivalent work experience preferred. Experience •One to two years of administrative assistant experience in a corporate setting with proficiency in Microsoft Office products. Licenses/Certifications •Loan servicing related certifications is considered a plus. Other Skills and Abilities •Strong communication skills, both written and verbal. •Resourceful, innovative, and well organized. •Strong attention to detail. PERFORMANCE MEASURES: •Meets or exceeds annual goals. •Accuracy of work. •Timeliness of work, ability to meet predetermined deadlines. WORKING CONDITIONS: Work is performed within the Bank with limited chance for personal injury. Prolonged and frequent mental and visual concentration required. Periodic stressful situations in response to multiple priorities within established deadlines. Work hours are during normal business hours. Unscheduled evening and weekend work may be needed to meet the needs of customers and employees. Occasional travel between offices and out-of-town/overnight business travel may be required. Must be able to lift and move up to twenty pounds of office supplies and equipment. Some bending, turning, and twisting required. Serves as a representative of the Bank at appropriate functions.
