Description

Under the general supervision of the Town Clerk and the Assistant Town Clerk, assist the office staff in providing excellent customer service to residents and colleagues. Generally, we are seeking a capable, professional, and personable colleague who will complement the office's collegial culture, competently provide administrative support, and enthusiastically embrace tasks that help the team operate productively. Responsibilities

Provide assistance to internal and external customers of the department. Greet visitors, answer phones, explain office procedures, and respond to questions within level of expertise and authorization, referring more complex issues to the Town Clerk or Assistant Town Clerk. Issues may include explanation of office policies, regulations, and procedures to include restrictions or requirements that apply in individual situations. Assistance with voter registration, requests for vital records, licenses, permits, business certificates, etc. Assist with processing utility petitions. Assist with processing business certificates, marriage intentions and raffle permits. Assist with processing vital records (birth, death, and marriage certificates). Notarize documents (once and if a notary). Support miscellaneous routine administrative operations such as time stamping meeting and zoning notices and receiving and sorting certified mail, FedEx, UPS and various supplies. Assist with administrative tasks associated with elections. Assist with administrative tasks associated with Town Meetings. Provide support for general office functions. Perform related duties as required.

Qualifications

Skills, Knowledge and Abilities

Knowledge of standard office procedures, practices, forms and equipment; dexterity and accuracy in operating computer keyboards and other standard office machines. Ability to interact effectively and pleasantly with a wide variety of individuals, including residents, colleagues, outside professionals, and members of the public. Ability to understand, select, and perform basic mathematical calculations efficiently and accurately. Ability to perform multiple tasks and deal effectively with interruptions. Ability to perform detailed work accurately and with dispatch.

Education and Experience Duties require knowledge of office administration, administrative practices, and record keeping. Duties additionally reguired knowledge of automated office systems and procedures. Associate degree in related field or an equivalent combination of 2-3 years of education and experience preferred. Physical Elements

Normal office environment, not subject to extremes in noise, temperature, odors, etc. Intermittent standing to assist customers in the office or on the phone. Frequent interruptions to assist customers in the office or on the phone. May spend extended periods of time at a terminal, on the telephone, or operating other office machines, requiring eye-hand coordination and finger dexterity. Regular lifting and carrying of files, documents, records, etc. Regular schedule may include occasional evening and weekend hours.
