Job Summary/Basic Function

The Administrative Technician works closely with the Registrar to document procedures to be followed by office staff for each major event in the Registrar's Office each semester. In addition, the employee runs and executes many reports for the Registrar and other colleagues on campus. The employee plans and arranges his/her own work and refers only unusual cases to supervisor.

Essential Functions:

Office Procedures - Maintain Office Procedures Manual. Update Check-Off lists used throughout the year. Building Coordinator for Department Emergency Plan - Update and maintain Department Emergency Plan. Coordinate with other departments in building to keep information accurate. Keep in contact with the appropriate person in DPS for updates with Emergency Plan. Status Changes/Updates - Process the status of students in the system and fresh-ups, including entering comments on transcripts. Contact students whose class status does not advance or goes beyond 1 class to find out what their graduation plans are and adjust anticipated degree dates accordingly. Notify various offices of this status changes. Contact those students (via mailing) who were expected to return from hiatus and have not registered to find out what their plans are. Update Student Status through NSC if a student is withdrawing or has a change in Anticipated Graduation Date. Update/Add Students when they submit an SSN through a W-9 or SS Card. Reports/Information Requests - Run various existing reports and extract lists to proof that information regarding course and student information is correctly entered in the system. Run various existing reports and extract lists for other offices. Prizes and Awards - Compile and organize prize and award information. This includes memos to Department Chairs; maintaining an Excel spreadsheet with all information; forwarding information to correct persons; preparing letters from the President and ordering checks, then making sure all prize letters and/or checks get mailed to the appropriate student. Course Submission - Create new faculty records, update capacities, course attributes, cross-listings, etc. Work with others in Registrar's Office to create all course sections for each semester. Make adjustments as changes are received from the academic departments. Send cancellation emails to students when a course has been cancelled. Create Off-Campus Study Parts of Term, Registration Status set-up and course sections. Track registration of students studying abroad to alert the Center for Global Study & Engagement of any student that still have not registered for on- campus courses as deadline approaches. Summer School - Create Summer Immersion and on campus course sections. Serve as the second point of contact for the Registrar's Office with walk-ins, phone calls and emails. Process legal and preferred name changes. Process students who submit a SSN, who previously did not have one listed, or correct their SSN with approved documentation. Special Registration - Create special theatre and dance, ballet and music performance studies sections and register students. Enter FLIC notation on individual student records. Enter course Overload permission on student records. Create & register Independent Study/Research and Tutorial courses. Register First-Year Students for their First-Year Seminars.
