Summary of Position
The Executive Assistant to the Director supports the overall administrative and operational functioning of the LC Valley Shelter, a ministry serving men, women, and women with children. This role provides direct support to the Director, manages front office operations, coordinates volunteers assigned to admin and guest services, oversees communication, and ensures smooth daily functioning. The Executive Assistant serves as a liaison between departments and is a trusted representative of the Director in their absence.
DUTIES & RESPONSIBILITIES:
Key Result Area #1: Support to the Director Assist in executing the Director's objectives and daily priorities Act as on-site leadership in the absence of the Director Assist with planning, budgeting, and capital expenditure requests Participate in interviewing, onboarding, and orientation of new hires Represent LC Valley Shelter in donor/community relations as assigned Manage calendars, schedule appointments, meetings, and Zoom calls Represent the Director in communication and decision-making when delegated Assist with drafting meeting agendas; take and distribute minutes for staff meetings Support the implementation of shelter-wide strategic plan and daily operations Ensure timely communication across departments, guests, volunteers, and ministry partners Key Result Area #2: Office and Shelter Administration
Act as centralized purchasing agent: order supplies and track operating expenses Process PO's, invoices, petty cash, credit cards, and reimbursements in a timely manner Provide onboarding support for new staff (e.g., badges, checklists, office setup) Provide basic IT troubleshooting and submit help desk requests as needed Maintain organization of shared office equipment and front desk systems Support database entry and quality assurance for guest data (e.g., Waypoint, Virtuous, Vomo.) Key Result Area #3: Volunteer and Front Office Oversight
Oversee, train, and encourage administrative volunteers Host regular volunteer check-ins and provide ongoing guidance Collaborate with the Volunteer & Community Outreach Coordinator to fill open roles Ensure volunteers are educated on policies, safety procedures, and standards of care Other Duties: This job description is not intended to be exhaustive. Skills & Qualifications
Committed Christian, able, and willing to model servant-leadership and interested in being part of a ministry for the poor, homeless, drug addicted and mentally ill. Grounded in the Christian faith as a mature, active member of the body of Christ. In accordance with Union Gospel Mission Statement of Purpose, Statement of Vision, and Statement of Faith.
Teachable, trustworthy, detail-oriented, and solution-focused Strong written, verbal, interpersonal, and instructional communication skills Highly organized and able to manage multiple projects under pressure Proven ability to supervise and encourage others with grace and clarity Comfortable in a fast-paced, diverse environment Computer literate with Microsoft 365, UKG Ready HR, database systems, and virtual meeting tools Valid driver's license (ID or WA) - required Yearly TB clearance - required Background check clearance - required Minimum 3 years of sobriety, if in recovery Education/Experience
•BA in Business Administration, Organization Leadership or B in Social Work, Counseling - preferred
•5+ year's prior related experience, or equivalent combination of education and experience
Working Conditions / Physical Requirements
Occasionally = 1-33% | Frequently = 34-66% | Continuously = 67-100%
Work is primarily indoors across multiple shelter spaces Requires walking, sitting, standing, stair climbing, bending, reaching - frequently Must be able to hear, see, and speak clearly - continuously Must be able to lift up to 25 lbs. - occasionally Equipment/Tools Used
Microsoft Office Suite, Copier, Fax, Scanner AV equipment, Multi-line phone system Shelter database system (e.g., Waypoint) Requirements:
