Position Summary
The
Project Coordinator
plays a critical role in managing daily service coordination functions at Diagnostic Assessment Services. This position ensures that incoming service requests are accurately processed, clinicians are assigned in a timely manner, and operational systems remain current.
In addition to coordinating logistics, the Project Specialist supports office operations by distributing internal protocols, overseeing test kit inventory, maintaining digital documentation, and ensuring smooth internal communication across departments.
Reporting directly to the Service Operations Director, this role serves as a vital link between clinicians, customers and support systems.
Key Responsibilities:
Service Request Intake & Assignment Coordination
Process incoming service requests from schools and district partners using Microsoft Forms and Planner Assign clinicians based on availability, licensure, and district requirements with accurate documentation Monitor assignment progress and update scheduling tools accordingly Notify internal team members when requests are completed, pending, or require follow-up
Workflow & Internal Team Support
Track daily and weekly assignments using Microsoft Planner and Excel Track task completion and support compliance and virtual assistants with follow-ups Escalate delays or missing items to the Service Operations Director
Office & Test Kit/Protocol Management
Manage and track test kit inventory and protocol distribution Distribute updated templates, onboarding guides, and service documentation to staff Create and maintain Standard Operating Procedures (SOPs) related to test kits and protocols Maintain document libraries in SharePoint for team access and version control Organize compliance documentation, clinician service logs, and school-specific records
Administrative Duties
Perform general office tasks including copying, filing, document scanning, uploading, invoice submission, check deposits, and mail processing Serve as the primary telephone point of contact for business inquiries Handle incoming business-related calls professionally and route them as needed
Communication & Documentation
Follow up with support staff to ensure accurate and timely documentation submission Prepare summary communications for assignments, missing documents, or unresolved items Track status updates related to service fulfillment, especially during high-volume periods
Qualifications:
Associates or Bachelors degree; education-related field preferred Minimum 2 years of administrative coordination, operations, or office support experience Proficiency in Microsoft 365 (Planner, Teams, Outlook, Excel, SharePoint) Excellent organizational skills and the ability to manage multiple priorities Strong communication and follow-through skills
