HR Generalist-payroll and Benefit specialist (78883-4)
Note that NY is preferred but may consider someone who can report to San Jose, CA office. Job Summary: Main responsibilities include payroll administration, 401(k) administration, health insurance administration, and other benefits administration. Also supports other HR functions such as health and safety, personnel change communications, and compliance-related tasks. Duties/Responsibilities: Exercise confidentiality and information protection protocols and protect all confidential and personal information. Keep trained and updated on all confidentiality and data protection protocols. Perform payroll-related functions by checking attendance and availability of paid time off and sick leave balances in payroll system; entering and maintaining employee payroll and benefits information; processing monthly exempt payrolls; handling quarterly and year-end adjustments for expats; and training employees to use the payroll system. Maintain payroll and benefits reports, budgets, and data. Create specific reports as requested. Enter updated compensation and benefits data into PayScale. Administer company-sponsored employee ancillary benefits (short-term disability, long-term disability, New York DBL); ensure timely enrollment; report monthly totals to insurance providers; prepare posting details and submit for payment; record data into YTD reports. Report New York PSL deductions accurately and timely; work with administration to ensure proper reporting and payment. Administer employee health benefits (Medical, Dental, Vision); ensure accurate enrollment; verify provider billing; prepare posting details; record data into YTD reports. Administer voluntary benefits (AFLAC, TSA, Dependent Care FSA); ensure timely enrollment; report deductions; prepare postings; submit invoices; communicate changes to payroll team. Check accuracy of funding in the 401(k) Plan. Support audits related to payroll, benefits, and 401(k) Plan. Assist with updates to handbooks, safety policies, health and benefits policies, and safety protocols. Track and document compliance with mandatory and optional training and assessments. Manage open enrollment, new enrollments, and benefits changes. Maintain employee I-9 records; follow up on document updates; ensure accuracy and timeliness. Keep updated records of employee counts for NHA, GMG, and affiliates. Stay informed about trends, best practices, regulatory changes, and new HR technologies. Notify supervisors of issues or concerns immediately. Shared Responsibilities: Support and participate in other projects and programs as assigned. Perform backup functions and cross-train team members.
