Ideal Candidate
Experience in a Union Environment — familiar with collective bargaining agreements (CBAs), grievance procedures, and labor law compliance (e.g., NLRA); able to maintain neutrality and professionalism when working with union representatives.
Responsibilities
Human Resources Related Responsibilities
Provide professional HR support in recruiting, onboarding, employee and labor relations, benefits, leaves of absence, unemployment and workers’ compensation, and conflict resolution.
Maintain HR documentation and records, including personnel files, onboarding/off-boarding paperwork, job classifications, salary changes, etc.; digitize existing employee files and share relevant documents with department heads.
Coordinate pre-employment activities (testing, background checks, drug testing) and the new hire process.
Assist in developing and implementing HR policies, the Company Employee Handbook, and HR initiatives; maintain HR processes on the Company HR SharePoint and help develop SOPs.
Regularly audit records for active employees (I-9s, LOA forms, payroll records, posters, policies, job descriptions, etc.).
Administer the benefits program (census reporting, enrollments/changes/terminations, open enrollment) and resolve benefits-related issues.
Manage employee leaves and unemployment claims; assist EH&S Manager with workers’ compensation claims.
Assist supervisors with performance review processes; answer employee requests and guide on HR policies, benefits, and compliance.
Ensure effective utilization of all Company HR plans, programs, and services; coordinate employee incentive and service award programs.
Support disciplinary matters and terminations; assist with conflict resolution and employment relations issues with leadership.
Promote corporate values and culture; stay current on employment laws and policies to assure compliance.
Payroll & Related Responsibilities
Administer the Company’s payroll for weekly and semi-monthly cycles, ensuring timely and accurate processing.
Verify timesheets, earnings, bonuses, and withholdings; maintain accurate payroll records for compliance with wage and hour laws.
Prepare and maintain payroll reports; ensure accurate processing of hires, transfers, promotions, and terminations.
Manage changes in employee deductions and respond to payroll inquiries; assist with annual audits of benefit plans.
Generate payroll reports and assist with compliance and census reporting; coordinate with Paychex and 401(k) records as needed; ensure timely contributions.
Serve as liaison with payroll service providers and ensure regulatory compliance for payroll across applicable states and localities.
Employee and Labor Relations
Assist leadership with interpreting union contract issues and negotiating CBAs; resolve grievances and advise supervisors on contract interpretation.
Support monthly site management/union leadership meetings.
Additional Tasks
Reconcile and approve benefits invoices (Health, Dental, Vision, Life Insurance).
Act as liaison for pre-employment drug testing programs; handle office supplies and coordinate company social events.
Other duties as assigned.
Qualifications
Bachelor’s degree in a related field required.
5–7+ years of payroll and/or HR experience required.
HR certification (SHRM-CP/SHRM-SCP and/or PHR/SPHR) preferred.
Knowledge of state and federal employment law, compensation practices, FLSA, FMLA, ERISA, NYFMLA, and payroll regulations.
Experience with Paychex Flex is desired; combination of education and experience will be considered.
