Description of Position Assistant III for the Division of Lifelong Learning (DLL) performs administrative support work of moderate difficulty for routine and special project work in a busy, often distracting environment where excellent communication, real-time reprioritization, and independent project management skills must be exercised daily. The job requires the ability to work at two locations (Sedona Center and Verde Valley Campus) with the primary office at the Sedona Center.

Administrative support for the Lifelong Learning Associate Dean - Customer service: registration, orientation, and training for Community Education, College for Kids, OLLI, and experiential learning

Customer service for the Sedona Center, including general YC inquiries

Purchasing liaison: Banner data entry, purchasing for division, creating and reconciling experiential learning travels, producing registration revenue and budget reports

Schedule and cancels non-credit classes and events

Web author for DLL Programs including Community Education, experiential learning, College for Kids, and OLLI: maintain and update content for multiple web pages

Documentation: prepare agendas, notices, and minutes for staff meetings. Prepare confidential correspondence, reports, and other complex documents requiring advanced use of Microsoft Office and other program

Implement and supports: college and divisional procedures, operations, and activities - Supports quality instruction for credit classes and enrichment learning (noncredit)

Assists with promotion and publicity. Includes sending new releases, posting DLL events on the Chambers of Commerce websites, overseeing social media, and uploading information to related websites

Use thorough knowledge of college practices and all Lifelong Learning programs

Practice critical thinking in performing duties

Perform intermediate or advanced non-exempt work requiring the application of a specific set of skills that may require training or judgment. Tasks require using sound judgment. Some duties are routine and repetitive while others are dynamic and challenging. Tasks include the use of computers, a wide variety of software applications, audio-visual equipment, and other electronic equipment. Tasks may include assisting with projects, preparing materials for presentation, proofreading, preparing schedules/work orders, and compiling information to be used for reporting. Develops proposals for improving the administration of the DLL.

Other related duties as assigned

Provides marketing support for Community Education and Experiential Learning classes and all division programs for better promotion requiring the use of advanced Microsoft, Adobe, and other AI programs. Coordinates with the Marketing Department to facilitate class and event promotion.

Minimum Expectations & Requirements Associate degree or equivalent experience. Two years of increasingly responsible office experience OR equivalent combination of education/experience required to successfully fulfill job duties Ability to work in a dynamic office setting Proficient in HTML and MS Office products including Word, Excel, PowerPoint, and Outlook Incumbents may be required to learn applications related to the area of assignment Ability to work with confidential/sensitive information Attention to detail in all duties (proofreading, problem-solving, course building, etc.) Knowledge of department procedures Aptitude to learn and master YC software applications

Preferred Skills & Abilities Bachelor's degree Work experience in a community college/higher education work environment Work experience in a community college/higher education work environment Excellent computer skills including but not limited to mail merge, Excel Power Query, JotForm, Mailchimp, and Adobe Suite
