We are looking for an
Executive Assistant
who is eager to help our President, Chuck Smith, and the leadership team succeed by delivering superior administrative support, managing key tasks, and organizing day-to-day operations with precision. If you have a knack for multi-tasking, thrive in a high-energy environment, and enjoy problem-solving, then this is the perfect role for you! The Big Task
Executive Support:
Provide high-level administrative support to the President, managing emails, calendars, appointments, and phone calls. Project Coordination:
Assist with special projects, events, and property management tasks, ensuring everything runs smoothly and on time. Bookkeeping:
Handle QuickBooks for four commercial buildings, manage accounts payable/receivable, collect rent, and handle other financial tasks. Communication:
Maintain strong internal and external communication to ensure all tasks are completed efficiently. Travel Coordination:
Schedule and organize travel arrangements, ensuring attention to detail and seamless execution. Resource Management:
Maintain property-related duties, including coordinating maintenance and managing tenant communications. Desired Skills and Experience:
2+ years of executive or administrative experience
supporting senior leadership, preferably in a fast-paced or construction-related field Strong organizational skills with the ability to
prioritize tasks
and meet deadlines Proficient in
Google Workspace, Microsoft Office Suite , and
QuickBooks
or similar software Ability to learn new software quickly and
adapt to changing priorities Detail-oriented
with excellent time management skills Ability to maintain a
positive attitude
while managing multiple responsibilities in a fast-paced environment Property management experience
preferred Physical Requirements:
Prolonged periods of sitting/standing at a desk or computer Ability to lift up to
