A D.C. Law Firm based in Georgetown is seeking an Office Services/Records Coordinator. This position provides general office support for their Washington D.C. office and requires working in the office daily. The ideal candidate must be able to work independently in an environment that is heavily computer-based. This individual will be communicating with team members, clients and visitors, with a professional demeanor and the ability to handle sensitive information while observing the confidentiality of clients. The incumbent performs a wide range of substantive duties to support the Office Administrator, Attorneys, Staff, Docketing, IT and Records. These duties include but are not limited to, distributing and sorting incoming mail, scanning and maintaining files, maintaining and stocking office and kitchen supplies, setting up and maintaining IT equipment, answering phones, greeting visitors, setting up meetings, printing, scanning and photocopying.

Duties and Responsibilities:

Retrieve and distribute incoming mail and/or packages (FedEx, UPS, USPS, Interoffice, etc.). Retrieve and compile documents needed for outgoing mail and couriers. Manage various copy, print, and scan jobs. Coordinate onsite jobs for service contractors, vendors, building management and building security. Install, operate and maintain IT office equipment (computers, monitors, laptops, printers, etc.) while also performing troubleshooting techniques when needed. Identify potential issues and involve the Office Administrator and department heads to determine appropriate solutions. Assist attorneys and staff as needed Scan incoming and outgoing files with IRM Desktop. Retrieve files from offices and secretary bays to ensure they are scanned and filed properly. Maintain file room and managing file shifts as needed. Answer incoming calls, forward calls and check voicemail. Manage meetings in Condeco Room Manager and set up video conferences. Greet and assist visitors, internal and external. Stock and order office and kitchen supplies. Maintain common areas to ensure sure they are stocked, clean and organized. Job Requirements:

Minimum of High School diploma required. 1-3 years of related experience in a corporate/ professional environment. Ability to work overtime, as needed. Demonstrate concise, highly effective written and verbal communication skills. Ability to manage workloads from multiple attorneys and departments while organizing and prioritizing work to meet deadlines. Excellent computer skills with the ability to operate computer programs and applications, including proficiency in Microsoft Office. Excellent interpersonal skills and the ability to work independently as well as within a team environment successfully. Ability to pick up and unload boxes for stocking, moving and arranging items.
