Job Overview:
The Receptionist / Administrative Assistant is responsible for managing front desk operations while providing administrative support to managers in the Administration department and assisting the Human Resources team with tasks. This position plays a key role in maintaining the efficiency of daily office functions, including visitor management, calendar coordination, and HR-related support. The role requires strong organizational skills, attention to detail, and the ability to handle multiple responsibilities in a professional manner.
ESSENTIAL RESPONSIBILITIES & DUTIES
Reception Duties:
Greet and assist visitors in a professional and courteous manner.
Answer and direct incoming telephone calls.
Maintain a welcoming reception area.
Handle incoming and outgoing mail and deliveries.
Administrative Support:
Maintain and coordinate the calendars of administrative managers.
Schedule meetings, prevent scheduling conflicts, and ensure timely updates to calendars.
Assist with meeting logistics, including room reservations and preparation of materials
Provide general administrative assistance as required.
HR Support:
Support the HR department with administrative tasks such as document organization and event logistics
Assist with internal communications and coordination of employee events and orientation sessions.
Qualifications:
High school diploma or equivalent required; associate or bachelor's degree preferred.
Minimum of 2 years of experience in a receptionist, administrative, or office support role.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Experience with calendar management and scheduling tools.
Bilingual - English and Spanish
