Youth Services System, Inc. Job Summary:
Provide executive, administrative support to the CEO as well as the Leadership Team. The Exec. Asst. serves as primary point of contact to coordinate internal and external resources to expedite workflows on all matters pertaining to the CEO. Exec. Asst. serves as liaison to the Board of Directors and the Senior Management Team. This employee will provide additional support to ensure that company goals and objectives are accomplished and operations run efficiently. This employee will ensure best practices are upheld.
Duties And Responsibilities
Manage and maintain executives' calendar. Make travel arrangements for executives. Prepare reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software. Answer phone calls and direct calls to appropriate parties or take messages. Prepare responses to correspondence containing routine inquiries. Open, sort, and distribute incoming correspondence, including faxes and email. Greet visitors and determine whether they should be given access to specific individuals. Prepare agendas and make arrangements such as coordinating catering for luncheons, for committees, board, and other meetings. Conduct research, compile data, and prepare documents for consideration and presentation by executives, committees, and boards of directors. Attend meetings, compile, transcribe meeting minutes, file and distribute as required. Perform general office duties, such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work. File and retrieve corporate documents, records, and reports. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. Provide clerical support to other departments when needed. Set up and oversee administrative policies and procedures for offices or organizations. Meet with individuals, special interest groups, and others on behalf of executives, committees, and Board of Directors. Supervise and train other clerical staff and arrange for employee training by scheduling training or organizing training material. Interpret administrative and operating policies and procedures for employees. Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures. Regular attendance and punctuality are essential functions of the job. Perform other duties as assigned
Required Skills/Abilities
Excellent attention to detail Skilled in word processing, managing files and records and office procedures Excellent organizational, time management skills Advanced knowledge of Office365. Ability to work under pressure and multitask Good written and oral communication skills Proficient in windows, including MS Word, Excel and Powerpoint.
Education And Experience
Requires Bachelor Degree in business administration, human services preferred, minimum of an Associate Degree in Secretarial Science, Office Administration required. Knowledge of social service system preferred. Experience working with executive and senior level management staff. Must have valid drivers license and proof of automobile insurance as required by law
