Position Overview The Events Coordinator serves as the project manager for all of Chicago Cares’ events and is responsible for the successful planning and execution of events, working closely and interdepartmentally with the Chicago Cares Programs and External Affairs teams in the execution of their duties . Chicago Cares hosts several large-scale events throughout the year to generate revenue, mobilize volunteers, and build brand awareness. The Events Coordinator will be responsible for providing logistical, administrative, and event assistance to the Community, Strategy, & Innovation team to ensure quality events. Event Project Management Lead the planning and reporting on annual projects/ events. Develop and implement planning timelines for each event. Plan events focused on the user experience and organizational goals. Develop creative and innovative programming. Maintain regular relationships with vendors and venues and source new relationships. Coordinate the involvement of Chicago Cares’ staff in event planning by assigning work appropriately, training and supporting staff as needed, leading planning meetings, and regularly checking in on staff members’ progress. Work closely with the External Affairs team to promote events effectively and recruit attendees. Contribute to the development of collateral/marketing materials as well as website and social media content specifically for events. Manage and report on event registration. Research new trends in event planning and execution to keep Chicago Cares’ events innovative and relevant. Event Logistics Coordinate all venue details, including but not limited to: food/beverage, staging, equipment, audio/video, permits, maintenance, security, and storage. Manage relationships with in-kind donors. Oversee supply ordering, and delivery. Warehouse Maintenance: Cleaning, organizing, inventorying, and managing supplies, equipment and materials at the warehouse(s). Packing, unpacking, and sorting supplies, equipment and materials pre- and post-event. Maintaining and communicating inventory Day of event: manage vendors, staff, and event logistics. Ensure post-event duties are accomplished, including data entry, post-event follow-up, supply return, and event performance analysis and reporting. Community Strategy & Innovation Support Advance brand identity by reinforcing strategic messages and organizational values. Participate in and provide support to other community relations activities as assigned. Other administrative and event support, as needed. Other duties as assigned. Strong ability to manage projects, teams, and timelines Commitment to working outside traditional work hours and schedules Access to reliable transportation Ability to work collaboratively with our staff, community partners, and volunteers Comfort and experience with administrative tasks like data input, email communications, phone communications, supply ordering and inventory, etc. Strong interpersonal communication and customer service skills Comfort taking initiative to ensure strong event attendee experiences and quality of all event efforts Willingness to engage in physical labor associated with loading, unloading and moving event supplies Previous event planning and execution experience Additional Information:

The ideal candidate will be able to work an average of 40 hours a week (typically between the hours of 9AM to 9PM). This position includes travel within Chicago and the surrounding suburbs. Salary and Benefits This is a full-time, exempt position with a starting salary of $50,000 - $53,000 per year determined by candidates’ skills and experience. Benefits include: Hybrid work environment – Currently, all staff must be in the office 1-2 days a week. Group medical (PPO or HMO) for the employee (90% coverage) and dependents. Group dental available for employee and dependents. Vision coverage for the employee (100% covered by CCI). Group life insurance and LSTD insurance for the employee (100% covered by CCI). Position Location This offer is contingent on the successful completion of the pre-employment process and compliance with Chicago Cares Residency Policy, which states: employees are expected to establish and maintain residency in the Chicago Metropolitan Region and maintain residency throughout their employment with Chicago Cares. The six-county Chicago Metropolitan Region includes the counties of Cook, DuPage, Kane, Lake, McHenry, and Will Counties.
