Title: Administrative Assistant to Director of Human Resources and Public Relations
Qualifications: High School Diploma or general education degree (GED) Associate's degree preferred
Proficiency with Microsoft Word, Excel, Powerpoint, Google Suite, Infinite Visions Related experience desired Such alternatives to the above qualifications as the Board may find appropriate and acceptable Possess excellent communication skills, including telephone and writing Demonstrate excellent interpersonal skills. Be proficient in computer skills and applications. Be able to maintain confidentiality in all matters. Possess and demonstrate knowledge of English usage, grammar, and punctuation Be able to communicate clearly and concisely, both orally and in writing Reports To: Director of Human Resources and Public Relations
FLSA Status: non-exempt
Performance Responsibilities:
Maintains and processes daily staff attendance reports utilizing internal database. Secures substitute teachers as necessary as well as notifies the department chairpersons of absences in their department. Maintain and update all aspects of the personnel files. (Includes all staff, substitute teachers, coaches, sponsors, non-employee coaches, non-employee sponsors) Process applications for employment as well as maintain/update employee personnel database. Prepares and posts advertisements for staff/teacher vacancies. Prepares all contracts and other personnel related correspondence. Schedules appointments/interviews. Process and maintain all insurance records. (Medical, Dental = Blue Cross Blue Shield: Life, Long Term Disability = Fortis) Carries out other duties as assigned by the Director of Human Resources. Maintaining employee files to ensure accuracy and compliance Gathers, files, and maintains the background checks Completes HR onboarding sheet and files in new employees file Uploads all new employee file information into Google folder Follows up with new hires on needed paperwork within necessary timeframe Stays current with federal and state mandates and regulations relating to HR practices and procedures (FMLA, FLSA, ETC.) Creates the Personnel Report for monthly board meetings Pull and Review every Friday absence reports (AESOP) Track to 3 or more days of absences. Report to the Director of HR Creates and maintains district 1-9 binder (update annually) Serves as information liaison between the total school system, the community at large, and supervises the production and distribution of all news releases; arranges for press conferences. Public relations research, surveys, polls, informal research - Conducts formal and informal research to determine public opinion and attitude as a basis for planning and action. Serves as the district's liaison with community groups such as civic associations and service clubs; helps plan/publicize district's parent, senior citizen and community service programs. Develops ways to bring the community into the schools. Student/staff recognition - Vigorously publicizes student and staff achievement; develops staff and retirement recognition programs. Organization of community forums and back to school events and other related community events. Maintains and updates a file of community organizations, their officers, mailing lists of residents,community groups with clearly expressed interests in educational affairs and provides to those agencies/individuals prompt responses to requests for public information about the District, its policies, and its programs. School district imaging and marketing - Promotes the district's strengths/achievements, and its solutions to problems. Perform all other duties as assigned by the Superintendent.
