rental properties , is seeking a highly skilled
Executive Assistant (EA)
to support
executive leadership
and manage critical
administrative operations
across multiple entities. This full-time role is ideal for a
self-motivated ,
resourceful , and
detail-oriented administrative professional
with advanced proficiency in
Microsoft Word ,
Excel ,
PowerPoint , and
Outlook . The position offers a unique opportunity to work within a close-knit team supporting a legacy business with diverse assets, including
real estate holdings ,
trusts , and
charitable foundations . Responsibilities: Daily Administrative Operations Open and sort
mail ,
newspapers , and
emails Maintain
office readiness : lights,
coffee ,
water station , and publications Monitor, print, and flag
emails for leadership ; manage timely
follow-up communications Maintain and update
executive to-do lists ,
meeting files , and
calendar alerts Manage
supply inventory
and place orders Executive and Property Support Provide personalized assistance to
executive leadership , including
calendar coordination ,
meeting prep , and
internal communications Support the
Vice President of Development
with
property-related responsibilities : Lease tracking
and expiration alerts Correspondence with
property management teams Tenant onboarding
and support Property email
inbox management Coordinate with the
CEO
and team for tasks related to
charitable initiatives
and
document processing Recurring Tasks Weekly and monthly
reports ,
reminders , and
memos
(e.g.,
holiday announcements ,
birthday recognition ) Handle
mailings ,
memos , and
records
for
internal communications
and
tenant relations Prepare and track
charitable foundation communications ,
donation reports , and
end-of-year letters Requirements Proven experience as an
Executive Assistant ,
Administrative Coordinator , or similar role Strong
organizational
and
time management
skills with the ability to manage multiple tasks across various departments Advanced knowledge of
Microsoft Office Suite , especially
Excel
(formulas, sorting, basic analytics) High level of
discretion
when handling
confidential information Excellent
written and verbal communication
skills Comfortable working in a
fast-paced ,
multi-entity environment
