About the Role
1/ST is seeking a proactive, highly organized Senior Executive Assistant to support our President. This In-Office role blends traditional executive support with occasional personal logistics, ensuring day-to-day operations run smoothly both professionally and personally.
The ideal candidate is a self-starter with exceptional judgment, a high level of discretion, and the ability to navigate a fast-paced, dynamic environment with confidence and care.
What You'll Do Executive Support Manage a complex calendar, balancing priorities and scheduling across time zones. Coordinate travel and prepare detailed itineraries. Organize meetings, agendas, logistics, and follow-ups for both internal and external stakeholders. Draft and edit professional correspondence, reports, and presentations. Track expenses, handle reimbursements, and support light project coordination. Act as a liaison across departments and external partners, representing the President with professionalism and clarity. Occasional Personal & Lifestyle Support Coordinate personal appointments, reservations, and general logistics as needed. Liaise with vendors, service providers, or household contacts. Assist in planning events or engagements that may blend business and personal components (e.g., executive offsites, gifting, etc.). What We're Looking For
5+ years of experience supporting senior-level executives. Excellent organizational, communication, and time management skills. Ability to handle confidential information with integrity and discretion. Tech-savvy and comfortable with Microsoft Office, Google Workspace, and collaboration tools (Slack, Zoom, etc.). Proactive, solution-oriented, and adaptable to shifting priorities. Bonus Points
Bachelor's degree in business administration, Communications, or a related field Experience in the horse racing industry is a plus-but not required. Comfortable with occasional after-hours or urgent needs. Familiarity with high-profile executive support and hybrid business/personal workflows.
