Position Summary
The Benefits Administrator is responsible for the day-to-day management and administration of employee benefits programs, ensuring timely, accurate, and compliant processes across all offerings. A key focus of this role is managing the organization's health insurance program in partnership with TRI's third-party administrator (TPA), while also supporting 401(k), supplemental benefits, leave programs, and regulatory reporting. The ideal candidate will bring a strong understanding of benefits operations, vendor management, and compliance, and will play a vital role in supporting employees through all stages of their benefits lifecycle.
Key Responsibilities
Health, Welfare, and Retirement Benefits
Administer employee benefits programs, including medical, dental, vision, life, disability, and supplemental benefits with emphasis on coordinating directly with the health insurance TPA for enrollments, terminations, and changes. Serve as the primary point of contact with the TPA and benefit management firm, ensuring timely and accurate communication of all benefit-related updates. Responsible for claims reconciliation and payments, as well as monthly payments for TPA fees, supplemental programs etc. Coordinate and process employee 401(k) enrollments and changes, loans and disbursements, working with plan administrators and payroll. Leaves of Absence & Claims Administration Manage the full lifecycle of FMLA requests, including tracking, approvals, communications, and coordination with payroll and benefits providers. Process and follow up on Workers' Compensation claims in collaboration with internal stakeholders and external vendors. Track COBRA enrollments and payments for terminated employees; monitor end-of-coverage dates and ensure compliance with COBRA continuation coverage requirements. Tuition & Professional Development Oversee tuition reimbursement and professional development benefit programs, including application review, approvals, and payment coordination. Vendor Relations & Payment Processing Coordinate with external vendors for medical, life/AD&D, LTD, and STD insurance; manage monthly invoice reconciliation, cost analysis, and payment processing to ensure accuracy and budget alignment. Participate in vendor evaluation and selection processes; assist in contract renewals and implementation of new benefit programs. Compliance & Reporting Ensure compliance with federal and state regulations, including ACA, COBRA, HIPAA, ERISA, and FMLA. Prepare and submit required government filings, including ACA reporting and annual Form 5500 submissions in coordination with third-party vendors or legal counsel. Support year-end benefits reporting and audits for health, life/AD&D, LTD, and 401(k) plans. Job Requirements
Minimum of 5 years of experience managing benefits for an organization with 400+ employees. Demonstrated experience working with third-party administrators (TPAs) for health benefits, including claims resolution, plan changes, and compliance oversight. Excellent written communication skills with the ability to draft accurate business correspondence, policy documentation, and employee notices. Strong interpersonal and verbal communication skills; ability to work effectively with employees at all levels of the organization. High attention to detail and strong organizational skills. Proven ability to analyze benefits data, prepare accurate reports, and make sound recommendations. Advanced proficiency in Microsoft Excel and comfort working with vendor portals This is a hybrid position with 2 days in TRI's Bethesda, Maryland office, and 3 days working remotely.
