Job Title:
Child Accounting, Data Processing & PIMS Coordinator
Reports to:
Director of Pupil Services
Primary Purpose:
Ensure all district and building level data is accurately represented in the Pennsylvania Information Management System (PIMS). Operate, maintain and support a complete and accurate student information system encompassing all students provided educational services by the LEA or other educational entities and including all students residing within the district borders that may attend non-public schools.
Qualifications: Bachelor's Degree or three to five years of experience as a PIMS administrator / coordinator Essential Functions: Coordinate all aspects of PIMS as it relates to students, staff, courses, safe schools, special education counts, CTE, Title I, athletic opportunities, verifying and obtaining PA Secure ID's, and extraction of student data for federal and state reporting. Answer inquiries by the Pennsylvania Department of Education regarding a variety of PIMS reports and/or related data in the PIMS data warehouse and by state auditors regarding child accounting data, non-resident foster, homebound instruction, AEDY membership, and vo-tech membership. Ensure accuracy of information presented in the District's student information system, student registration, and PIMS reporting through continuous communications with key district personnel. Coordinate data entry/data maintenance, process development, documentation, and data correction for federal and state reporting. Maintain current knowledge of PIMS requirements by reviewing and interpreting PIMS manuals and guidelines concerning data requirements and serve as communicator to key personnel. Coordinate the Civil Rights Data Collection (CRDC) every other year or as otherwise required by the U.S. Department of Education Office of Civil Rights. Coordinate the School Health Annual Reimbursement Request with school nurses and ensure timely submission by the due date. Collaborate with student information system vendors in handling changes to PIMS reporting requirements. Coordinate with the Education Technology Department to ensure automation of the links to student demographic information including but not limited to lunch programs, transportation, special education, and school notification systems. Coordinate the collection of grades from teachers each nine-week grading period and each mid-term period including preparation of grade files and printing of report cards and mid-term reports. Oversee high school permanent transcripts including data entry of transfer course history, calculating credits attempted/earned, grade point average (GPA) and class rank. Compute annual weighted and non-weighted class rank for graduating class including manual verification of quality points and GPAs. Compute final grade averages and print final grade labels for student permanent records. Work with the Superintendent in creating the annual school calendar, as well as build and maintain all District calendars in the student information system. Assist the Pupil Services Department in identifying homeless students and families as per the McKinney-Vento Homeless Assistance Act. Assist the Pupil Services Department with 1302 Guardianship Affidavits including meeting with parents/guardians for filing of affidavit. Assist with revision and implementation of district forms related to student registration, student permanent records, and the student residency questionnaire related to McKinney-Vento Homeless Assistance Act. Work with the Business Office and the Pupil Services Department regarding school services and educational placements. Maintain knowledge of current School Code and Basic Education Circulars pertaining to Child Accounting. Coordinate student registration and enrollment by activating new students and processing withdrawn students to accurately reflect the District's student enrollment. Print and distribute quarterly attendance and discipline reports for all school buildings to verify and update information as needed. Review child accounting membership and data reports for accuracy, and prepare all enrollment reports. Assist, oversee and serve as a back up registrar, verifying and processing enrollment documentation. Maintain records and review billing of student placements, tuition status, foster status, and consortium membership in coordination with the Pupil Services Department. Track cyber, cyber charter, and voucher enrollment, withdrawals, and membership. Review and approve cyber, cyber charter, and voucher enrollment billing statements for accuracy.
Perform other duties as assigned and perform all duties in accordance with school policy, administrative regulations, state and federal laws.
