Summary: Reporting to the Records & Information Manager, the Receptionist/Administrative Assistant provides general office support with a wide variety of clerical activities and related tasks. The Receptionist is responsible for answering incoming calls, directing calls to appropriate staff, greeting visitors, mail distribution, the flow of correspondence, requisition of supplies, and performing other administrative support tasks.

Major Responsibilities: Promptly and cordially, answers a multi-line telephone system. Screens, routes/refers calls to the proper person or voicemail, in a professional manner. Promptly and courteously greets visitors and provides requested information and/or directs them to the proper person or department. Works cooperatively with others to achieve customer/employee satisfaction. Assist with schedules and organizing activities such as meetings, conferences, and other department activities. Reviews incoming mail and distributes it in accordance with established procedures daily. Processes outgoing mail daily for all departments. May conduct online, library, and telephone research. Obtain further information or clarification to assist departments on relevant issues and requests. Ensures reception suite and mail center are kept neat, organized and up-to-date. Generates updated employee extension list, Chugachmiut Directory, and boardroom/training room reservation calendars as required. Maintains reception manual and logbooks as directed. Ensures office supply storage areas and copy centers are kept stocked, clean and organized. Ensures that coffee areas, lunchroom, kitchen areas, reception area, and boardroom are cleaned at the end of each day, and kept in a professional-looking manner throughout the day. Provides general administrative support as directed by the supervisor. Conforms to safety policies and general housekeeping practices. Check guests in/out and issue a visitors badge. During an evacuation, drill, or emergency the position is responsible for printing a list of the in/out board and guest log as part of Chugachmiut's safety and security protocols to give to the Safety Officer or their designee. Demonstrates sound work ethics, is flexible, and shows dedication to the position. Demonstrates a positive attitude, is respectful, and possesses cultural awareness and sensitivity toward clients and co-workers. Keeps customer service and the mission of the organization in mind when interacting with all clients, co-workers, and others. Expected to be prepared to start shift on time, meet attendance standards, and work the hours necessary to perform the essential functions of the job. Conforms to Chugachmiut policies, strict employee confidentiality, and HIPAA regulations. Performs other duties as assigned or required . Education Requirements:

High School graduate or GED required. Minimum 1-year administrative assistant/clerical experience. Valid driver's license preferred.

Hours of Work: Hours of work are Monday to Friday, 8:30 a.m. to 5:00 p.m., with one hour and 15 minutes for lunch. During the summer flexible schedule from Memorial, day to Labor Day hours of work are 8:00 a.m. to 6:00 p.m. with an hour for lunch. Chugachmiut maintains a drug and alcohol and/non-smoking work environment.

The following demands are representative of those that must be met by an employee to successfully perform the essential functions of this job. The position requires the ability to sit for a long period of time, normal range of hearing and eyesight, eye-hand coordinate, on and manual dexterity to operate office equipment such as computer keyboard, photocopier, telephone, calculator, and may be required to lift approximately 30 pounds.
