Records Specialist
The Records Specialist carries a wide range of administrative and clerical responsibilities relating to program certification, degree completion, and other student academic matters.
Essential Duties and Responsibilities Coordinates processing of graduation candidates, especially the following: graduation audits, systematic tracking of program completion, online guide, commencement program information, graduation-related supply orders, and other tasks related to both academic completion (graduation) and the culminating event (commencement ceremony). Serves as a contact person in matters pertaining to requirements for both graduation and the commencement ceremony. Maintains computerized records of degree requirements, including customization of individual academic plans and course substitutions. Prepares graduate audits upon request. Registers degree completion students and assists with other student registration as needed. Sets up and maintains rosters of courses, independent studies, and any course changes in the computer system. Manages the entry of grades for students in all Cairn schools. Manages and maintains accuracy of student records and processes various forms such as grade changes, incomplete grade contracts, academic standing, waiting lists, advisor lists, and University and course withdrawals, etc. Responds to student and faculty inquiries for academic and related information. Inventories and orders forms and supplies for the Registrar's Office. Performs other duties as assigned by the Registrar to include assisting in receptionist duties, handling telephone calls, and servicing customers at the counter. Participate in additional tasks and responsibilities as needed to support the overall operations and goals of the department. This may include contributing to cross-functional projects, assisting colleagues, or responding to evolving priorities, even when such tasks fall outside the specific scope of the role. Skills and Abilities
Knowledge of Microsoft office software, PowerCampus, and Financial Edge. Knowledge of general accounting methods. Ability to effectively read, write, and speak the English language Ability to perform mathematical computations accurately and efficiently Ability to analyze problems, discrepancies, and unusual situations and independently determine appropriate actions. Ability to work well both independently and as part of a team. Strong administrative skills. Familiarity with commonly used office management software and the ability to learn additional software is required. Demonstrated managerial qualities which correlate with the responsibilities indicated above, such as excellent planning, communication, and interpersonal skills. Required Education and Experience
Bachelor's Degree required. Three months to one year of prior experience in administrative and/or customer service-related positions. Physical Requirements

Prolonged periods of sitting at a desk while entering data, reviewing records, and working on a computer system. Frequent use of hands and fingers to operate a computer, telephone, scanner, printer, and other standard office equipment. Occasional walking, standing, and movement throughout the office or campus to attend meetings, retrieve documents, or provide in-person support. Occasional lifting and moving of files, boxes of records, office supplies, or commencement materials weighing up to 25 pounds. Visual and auditory ability to review academic records, respond to inquiries, and communicate clearly with students, faculty, and staff in person, by phone, and electronically. Ability to maintain focus and attention to detail while managing complex data, ensuring accuracy in student records, transcripts, course scheduling, and degree audits. Capacity to work in a fast-paced environment, especially during peak times such as registration, add/drop periods, and graduation clearance. Ability to remain professional and composed while assisting students, addressing concerns, and resolving time-sensitive or confidential issues. Emotional resilience to handle sensitive academic or enrollment matters with discretion, empathy, and fairness. Adaptability to frequent procedural updates, changing academic policies, and new software or reporting systems. Capacity to manage multiple tasks and deadlines simultaneously, while maintaining high levels of accuracy and compliance.
This position may require occasional extended hours during registration periods, graduation preparation, or system transitions, and must adhere to institutional confidentiality and data security protocols.
