JOB PURPOSE:
The Auxiliary Operations Administrative Assistant assists in the administrative management of the after school care program and serves as a member of the After School Care Staff. After School Care Staff provide supervision, programming, and care for students enrolled in the Bengal Cub Club (BCC) (age 2 - Grade 4) and Homework Hangout (middle & upper school) programs.
This is a 12-month, part-time, on-campus position, Monday- Friday from 2:00 - 6:00 p.m.
The Auxiliary Operations Administrative Assistant models the GDS Community Cornerstones of Respect, Kindness, Integrity, and Responsibility.
PRIMARY RESPONSIBILITIES: Assists the Director and Assistant Director of Auxiliary Operations with the CampBrain digital platform, including management of daily rosters and attendance reports Supports the preparation of catalogs and digital platform setup for Bengal Cub Club (BCC), After School Enrichments, and Summer Programs Monitors daily student attendance in CampBrain and manages drop in registrations ensuring accurate billing for drop in care Assigns daily and weekly room locations for BCC and After School Enrichment programs Coordinates substitute coverage as needed for After School Care staff Maintains inventory of materials needed for after school programs Assists the Director of Auxiliary Operations with paperwork throughout various stages of the rental process Serves as point person for parent/guardian pickup from BCC and After School Enrichments, monitoring the doorbell camera and BCC phone Responds to emails and phone calls related to attendance, registration, pickup times, and other inquiries at the direction of the Director of Auxiliary Operations Assists the Director and Assistant Director of Auxiliary Operations with parent communication as needed. Supports the Director and Assistant Director of Auxiliary Operations in managing financial transactions, receipts, and invoices Reviews operational processes and provides recommendations to the Director and Assistant Director of Auxiliary Operations for streamlining systems and procedures ADDITIONAL RESPONSIBILITIES:

WORKING CONDITIONS:
Daily work requires supervising students both indoors and outdoors. Faculty are required to participate in regular safety drills, learn CPR, learn how to apply a tourniquet, provide basic first aid, administer epi-pens when needed, and be able to support other student-specific health-related needs. Some weekend, evening, or early morning work may be required from time to time.
PHYSICAL REQUIREMENTS:
Staff members supervising young children must be able to assist the children in toileting, hand washing, nose-blowing, etc. They must be able to move quickly and frequently from standing to sitting with ease, lift up to 50 pounds, and sit on small chairs and the floor. All staff members must also be able to traverse the classroom and adjust one's tone and height, by bending or leaning, in order to teach each child. Must be able to provide adequate supervision indoors and outdoors, and they must be able to ensure the safety of students during drills and emergencies that may arise from time to time. This position has frequent exposure to loud sounds and high noise levels on a weekly basis.
