Overview The Program Advisor manages and supervises the production-related logistics and requirements for programs and events for the department of Associated Students. In particular working with AS Event Safety and Production Coordinators and the event staff. Supervises approximately 25 Event Safety Staff and 25 Production crew members. The advisor will assist Program Board members on logistical planning, implementation, budgeting, event evaluation and ensure compliance with pertinent A.S. and University policies and procedures. Serves as liaison with University service providers on all events. Works with members of the campus community in the presentation of cultural and public events.
Responsibilities
60% Advising
- Advises the Program Board on event safety, production (sound, lighting, staging) and technical issues. Oversees ASPB student Production Coordinator in their management of technical, event-staging requirements of all ASPB productions including concerts, lectures, cultural arts events, and special events such as the Halloween Delirium Concert, Warm Up and Extravaganza. Works closely with the ASPB Production Coordinators and ASPB Event Safety Coordinators to ensure production and safety-related resources and labor are adequately sourced for each event. Attends all production-related meetings with departmental and campus representatives as appropriate. Advises Production Coordinator on show advances and securing services of third party vendors. Advises students on University regulations (including the dissemination and compliance with Health and Safety regulations) and pertinent A.S. policies and procedures as needed for general Program Board events. Guide and assist student Program Board Coordinators in assessing programmatic needs in relation to production support. Attends weekly Program Board meetings. Advises and assists individuals and groups with problems related to scheduled activities; enforce University rules and regulations as necessary; schedule the use of facilities within areas of assigned responsibilities; make budget recommendations; and maintain files and records and prepare reports as required. Facilitates effective working relationships between AS Program Board and other student groups by coordinating and informing student leaders of resources and services available in the functional areas. Works closely with the ASPB Production Coordinators and ASPB Event Safety Coordinators, Office of Student Life, and the University Center to provide information to registered campus organizations and calendar coordination of services for events. Develop evaluation process for services provided as student group co-sponsorships. Coordinates the processing of all requisitions necessary for current and anticipated expenses. Serves as Associated Students liaison with University Departments necessary for Program Board program events. These departments include but are not limited to: University Police and CSO's, Environmental Health and Safety, Fire Marshall, University Center Administration, Events Center Administration, Facilities Management, Central Stores, Transportation Services, Office of Student Life, Physical Activities and Recreation, Parking Services, and Public Events. Oversees compliance with applicable personnel policies and procedures pertaining to university faculty, staff and students. Attends Program Board events, especially those where complexity, size, and scope are potentially troublesome. In addition, it is expected that the Advisor will coordinate with the Assistant Director for Student Programs in attending other campus events as a staff supervisor.

- Hires, trains and supervises Event Student Staff and Production Crew student staff. Ensures students staff produce efficient and effective event operations. Schedules, trains and evaluates student work. Provides student staff with appropriate training in event production, safety or other necessary skills. Meet with the Program Board Production and Event Safety staff to discuss event production, coordination and evaluation, advertising, support staff and artist stage requirements for all programs and events. Train and mentor student technical crews by developing training programs for new student staff and ensure that each new crew member receives adequate and thorough training for their position. Develop an on-going professional development program for the Event Safety and Production Crew staff. Ensure the Production and Event Safety Coordinators hold regular meetings with the staff to update information and communicate safety procedures. Supervise maintenance and rental of all Associated Students Program Board sound and technical equipment including ASPB's barricade, mixing boards, and all necessary sound production accessories. Keeps inventory of all ASPB production equipment and recommends equipment replacement, when appropriate. Other duties as assigned by the Assistant Director for Student Programs, Events and Services.
